<p>The Information Technology department at Penguin Random House is seeking an Administrative Assistant to provide organizational and administrative support for daily operations. Reporting to the CIO North America & Global Application Transformation, the Administrative Assistant will help drive the success of a busy and collaborative team.</p> <p>Recognized as the home to best-in-class storytellers, Penguin Random House's publishing lists include more than 80 Nobel Prize laureates and hundreds of the world's most widely read authors, including Barack and Michelle Obama, John Grisham, Margaret Atwood, Danielle Steel, Lee Child, Lisa Scottoline and Jojo Moyes.</p> <p>This experienced, detail-oriented Administrative Assistant will build successful working relationships and work closely with our Leadership team within Information Technology and across Penguin Random House globally. Will be an excellent communicator and a self-motivated person with proven success at execution. Joining the team, we hope to find someone who can prioritize work and think strategically to solve problems and build stakeholder consensus with?various global and domestic colleagues across all departments.</p> <p>The ideal candidate is?a meticulous self-starter who can?manage a diverse set of responsibilities efficiently and effectively and is comfortable asking for help, when needed, in a fast-paced environment. A strong organizer who can?prioritize assignments while executing a high volume of requests and queries and?help us facilitate the best possible strategies for our teams and?stakeholders while also remembering to step back, consider the big picture, and adjust your strategy when needed, you'll assume greater responsibilities over time.</p> <p>Specific responsibilities include:</p> <ul> <li> <p>Provide administrative support in the day-to-day operations of the CIO's office: heavy calendar management, coordinating department and company-wide scheduling (internal and external across multiple geographies globally), maintaining correspondence, and handling monthly expense reports</p> </li><li> <p>Coordinate agendas, presentations, briefing documents, and take minutes for key leadership meetings and create materials for regular meetings led by the CIO</p> </li><li> <p>Tracks daily, weekly, and long-term priorities for the CIO and amends the schedule to suit those priorities</p> </li><li> <p>Provides support on various projects relating to:</p> </li><li> <p></p> </li><li> <p></p> </li></ul> <p>Arrange domestic and international travel; create detailed travel itineraries, including coordinating meetings and researching/booking hotels/restaurants</p> <ul> <li> <p>Support in planning and coordinating meetings and special events, both internally and externally (room setup, catering orders, IT coordination)</p> </li><li> <p>Handle ad-hoc projects for the CIO's office as needed</p> </li><li> <p>Draft communications for distribution</p> </li><li> <p>Manage office material (monitoring existing supplies, ordering, and receiving)</p> </li></ul> <p>Please apply if you meet the following qualifications:</p> <ul> <li> <p>A minimum of five years assisting a senior executive in a highly visible support role; prior senior executive administration and office management experience</p> </li><li> <p>Must be able to act with discretion and always able to handle confidential and sensitive information</p> </li><li> <p>Excellent time management skills and ability to prioritize and multi-task effectively</p> </li><li> <p>Quick learner and able to take direction easily</p> </li><li> <p>Exceptional communication & writing skills; both verbal & written are essential</p> </li><li> <p>Professional and friendly manner on the phone, over email, and via other written correspondence is a must</p> </li><li> <p>Able to work well under pressure and handle multiple responsibilities in a deadline-driven and dynamic environment</p> </li><li> <p>Strong sense of integrity with the ability to handle confidential and sensitive information with discretion</p> </li><li> <p>Demonstrates a creative, innovative, and resourceful approach to problem-solving; able to take direction easily</p> </li><li> <p>Strong computer skills: proficiency with Microsoft Word, Excel, PowerPoint, and Outlook are required</p> </li><li> <p>Interest in IT or technology, with a curiosity to learn and engage with technical teams, is a plus</p> </li><li> <p>Ability to work in NY office 2 days a week</p> </li></ul> <p>The Penguin Random House national headquarters is located in New York City. This is a hybrid position, requiring approximately two days per week at our 1745 Broadway location.</p> <p>The salary range for this position is $60,000 - $75,000, commensurate with experience.
