<p>Administrative Specialist (HEOa) -Department of Instructional Computing and Information Technology (ICIT) POSITION DETAILS The position plays an important role in maintaining a structured, compliant administrative environment. The Administrative Specialist complements the responsibilities of the Administrative Manager (HEA) by focusing on the execution, tracking, and reporting of administrative activities. Hunter's Instructional Computing and Information Technology (ICIT) Department is responsible for academic and administrative computing, networks and telecommunications, customer service and more serving over 22,000 students and 2,500 faculty and staff members across all campuses. The ICIT staff is comprised of highly trained professionals with a wide range of skills and areas of expertise including infrastructure and networking specialists, information officers, information technologists and specialists in compliance and media. This position reports to the Administrative Manager and will be responsible for but not limited to the following: • Provide high-level administrative support to the Administrative Manager and serve as designated deputy point of contact for senior executive support in the absence of other senior administrative staff. • Ensure seamless daily office operations, including drafting, reviewing, and distributing correspondence; attend meetings, record minutes, and ensure appropriate follow-up on action items. • Assist with departmental hiring activities, including recruitment logistics and documentation processing in accordance with CUNY procedures. • Handle complex scheduling; monitor emails in real time for assigned senior staff and exercise discretion when responding; prepare briefing materials, meeting packets, executive profiles, and related documentation. • Administer and maintain office electronic databases and filing systems; curate and organize electronic records, enforce document retention guidelines, and ensure accuracy of departmental information. • Manage heavy call volume and strategic screening of front desk; triage and respond to inquiries from students, faculty, staff, and external constituents with professionalism and courtesy. • Contribute to cross-office collaboration by creating and maintaining procedural guides, templates, and standard operating procedures to institutionalize practices developed during transitions and enhance operational efficiency. • Prepare, format, and distribute in-depth reports, briefing materials, agendas, and follow up documents with high accuracy. QUALIFICATIONS Bachelor's degree and 4 years of related experience. Excellent verbal and written communication, interpersonal, organizational, prioritization, and problem-solving skills. Proficiency and competency in Microsoft Office 365 (Word, Excel, PowerPoint, Outlook), and other relevant systems/software. Previous work with a College/School is desirable.
