<p>Job Summary: The Senior Administrative Assistant for the College of Social Sciences, Arts, and Humanities (CoSSAH) at Harris-Stowe State University is a key administrative position-serving as a liaison between the Dean and College stakeholders and overseeing the daily operations of the College. An ideal candidate is a highly organized, professional, and proactive individual who can efficiently manage office inventory, multiple schedules, and human resources with high levels of emotional intelligence and excellent communications skills. Additionally, this person is highly committed to the educational legacy of historically Black colleges/universities (HBCUs) and understands the importance of continual growth and professional development.</p> <p>Key Responsibilities:</p> <ul> <li> <p>Office Operations Management:</p> </li><li> <p>Oversee and manage the day-to-day operations of CoSSAH, ensuring the office is well-maintained, organized, and equipped with necessary supplies and resources.</p> </li><li> <p>Develop and implement efficient office procedures and workflows.</p> </li><li> <p>Financial Management:</p> </li><li> <p>Assist in budget tracking for the College, including managing expenses, processing invoices, and reconciling financial records.</p> </li><li> <p>Ensure compliance with University financial policies and procedures.</p> </li><li> <p>Assist the Dean in identifying external funds for College programs and functions.</p> </li><li> <p>Student Support:</p> </li><li> <p>Embrace belonging and empathy to address the service needs of students, faculty, staff, and external stakeholders.</p> </li><li> <p>Assist with student inquiries, registration, and scheduling assistance.</p> </li><li> <p>Assist with student events, orientations, and academic support programs.</p> </li><li> <p>Lead an annual College Open House that is student centered.</p> </li><li> <p>Facilities and Equipment Management:</p> </li><li> <p>Coordinate maintenance and repair of office equipment and facilities.</p> </li><li> <p>Oversee office space usage, room bookings, and scheduling for meetings/events.</p> </li><li> <p>Ensure a safe and comfortable office environment.</p> </li><li> <p>Administrative Tasks:</p> </li><li> <p>Prepare and review correspondence, reports, and documents, which may include handling sensitive and confidential information with professional discretion.</p> </li><li> <p>Assist the Dean in the facilitation of faculty meetings, including taking official minutes for all faculty meetings using the discussion minutes format.</p> </li><li> <p>Assist the Dean in scheduling meetings, keeping a balanced academic calendar, and task prioritization.</p> </li><li> <p>Keep an adequate record of all functions and procedures of the College.</p> </li><li> <p>Event Coordination:</p> </li><li> <p>Take necessary leadership in the planning and execution of CoSSAH events, including conferences, seminars, and workshops, which may include managing logistics, coordinating vendors, and ensuring budget compliance.</p> </li><li> <p>Collaboration:</p> </li><li> <p>Collaborate with other departments and University offices to facilitate cross-functional initiatives.</p> </li><li> <p>Participate in Business School committees and meetings.</p> </li></ul> <p>Qualifications:</p> <ul> <li>Bachelor's degree or equivalent academic experience in office management where professional writing was mandated </li><li>Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) </li><li>Strong organizational, communication, and problem-solving skills </li><li>Commitment to fostering an inclusive and culturally competent academic environment </li></ul> <p>Working Conditions:</p> <ul> <li>This position typically operates in an office environment. </li><li>Some flexibility in working hours may be required to accommodate events or peak periods. </li><li>Occasional attendance at evening or weekend events may be necessary. </li></ul> <p>EOE Statement</p> <p>Harris-Stowe State University is an Equal Opportunity Employer.
