<p>Requisition ID: 179920</p> <p>Job Level: Entry Level</p> <p>Home District/Group: Underground District</p> <p>Department: Administration</p> <p>Market: Water/Wastewater</p> <p>Employment Type: Full Time</p> <p>Position Overview</p> <p>We are currently looking for a proactive Administrative Assistant to support our Ellicott City North Tunnel in Ellicott City, Maryland. Position will provide exceptional office administration support to a fast-paced construction project with high expectations in our Baltimore, MD region. Office administration support duties may include: maintaining office systems, supplies, processing and managing PO's, subcontractor and State document management, office clerical/support services, printing, mail distribution, messenger services, expense reporting, greeting visitors, answering phones along with other assigned tasks.</p> <p>District Overview</p> <p>The Underground District has been constructing underground facilities for over 70 years and is recognized as a leader in the tunneling industry. We have completed more than 100 underground-related projects totaling more than several billion dollars. Our work includes projects related to transportation, water/wastewater, environmental facilities, power, mining, and telecommunications.</p> <p>We incorporate state-of the art technology with proven construction methods to ensure excellence and ongoing success. Kiewit's decentralized organizational structure allows us to compete both locally and nationally.</p> <p>Please keep in mind that we are an Underground Construction business, so chances are that a majority of your day will be spent working Underground. Services include TBM Rock, TBM Soft Ground, Sequential Excavation, Drill and Blast, Shaft Excavation, Concrete, Tunnel Rehab, and Numerous Trenchless Methods.</p> <p>Location</p> <p>This role will support Kiewit's Underground District project teams in and around Baltimore, MD.</p> <p>This is an onsite position, position will work out of our project office location.</p> <p>Responsibilities</p> <ul> <li>Responsible to perform administrative, clerical and receptionist duties </li><li>Manage conference room scheduling, maintain office housekeeping. </li><li>Collecting and processing subcontractor and regulatory documentation and requirements. </li><li>Assist with completion of certified payroll, manage prevailing wage documentation </li><li>Order office supplies and stock and maintain breakrooms </li><li>Assist with all account payable transactions, PO maintenance, invoice reconciliation </li><li>Assist with tracking of subcontract insurance, bonds, contract documents, invoices and payments </li><li>Onboarding of craft employees </li><li>Coordinate courier and project mail </li><li>Assist with various special projects </li></ul> <p>Qualifications</p> <ul> <li>2+ years of Administrative experience required </li><li>Notary preferred. </li><li>Valid Driver's License. </li><li>Supply management and inventory control experience. </li><li>Organizational skills. </li><li>Tracking budget expenses. </li><li>Reporting skills. </li><li>Attention to detail. </li><li>Excellent customer service skills and a positive, can-do attitude. </li><li>Professional phone manner. </li><li>Must be highly proficient in Microsoft Word, Excel, and Power Point. </li><li>Flexibility in schedule - early/late as needed. </li><li>Ability to juggle multiple projects/assignments. </li><li>Ability to work with various personalities. </li><li>Other software package experience that is preferred includes SharePoint, Concur, Bluebeam, SAP. </li></ul> <p>Other Requirements:</p> <ul> <li>Regular, reliable attendance </li><li>Work productively and meet deadlines timely </li><li>Communicate and interact effectively and professionally with supervisors, employees, and others individually or in a team environment </li><li>Perform work safely and effectively. Understand and follow oral and written instructions, including warning signs, equipment use, and other policies. </li><li>Work during normal operating hours to organize and complete work within given deadlines.
