<p>Administrative Executive Assistant (Office of Academic and Student Affairs)</p> <p>POSITION DETAILS</p> <p>The City University of New York's Graduate School of Public Health & Health Policy seeks an Administrative Executive Assistant who will report directly to the Senior Associate Dean for Academic and Student Affairs. This role requires a high degree of professionalism, discretion, organizational skill, and the ability to manage multiple priorities in a face-paced academic environment.</p> <p>Specific Duties and Responsibilities:</p> <ul> <li> <p>Serve as the primary point of contact for the Senior Associate Dean, managing communications, scheduling, and logistical coordination.</p> </li><li> <p>Maintain and manage the Senior Associate Dean's calendar, including scheduling meetings, appointments, and travel arrangements.</p> </li><li> <p>Update and maintain the Senior Associate Dean's CV, research publication profile, and administrative filings.</p> </li><li> <p>Coordinate meetings and events, including logistics such as venue booking, technology setup, materials preparation, and catering.</p> </li><li> <p>Record and distribute meeting minutes for committees or groups chaired by the Senior Associate Dean.</p> </li><li> <p>Assist in the drafting and sharing of meeting agendas.</p> </li><li> <p>Maintain confidential files and records.</p> </li><li> <p>Assist with booking travel and submitting expense reports for reimbursement.</p> </li><li> <p>Support special projects and initiatives led by the Senior Associate Dean, including research and presentations.</p> </li><li> <p>Perform other duties as assigned to support the Senior Associate Dean.</p> </li></ul> <p>QUALIFICATIONS</p> <p>Bachelor's Degree and four years' relevant experience required.</p> <p>Preferred qualifications:</p> <ul> <li> <p>Master's degree in public health.</p> </li><li> <p>At least two years of experience working in a higher education setting, preferably at a graduate school of public health.</p> </li><li> <p>At least one year of experience processing invoices, financial reports and other administrative work.</p> </li><li> <p>Experience working in an administrative or project coordination role reporting directly to university leadership.</p> </li><li> <p>Demonstrated experience and interest in working in areas of public health, sexual and reproductive health and justice, or other related areas of work.</p> </li><li> <p>Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).</p> </li><li> <p>Familiarity with Zoom meeting scheduling.</p> </li><li> <p>Excellent written and verbal communication skills, including telephone and email communications.</p> </li><li> <p>Strong attention to detail.</p> </li><li> <p>Exceptional organizational and time management abilities.</p> </li></ul> <p>CUNY TITLE OVERVIEW</p> <p>Provides support to a Campus or University Executive, organizing and supervising unit activities.</p> <ul> <li>Creates appointment and meeting schedules, arranges meetings, and prepares for a variety of special events. Maintains an ongoing calendar of reports, deadlines, and key dates and incorporates these into a schedule. </li><li>Coordinates Executive communications, including those requiring a high degree of sensitivity. May respond to public inquiries as well as requests from within the Campus/University community. </li><li>Organizes, creates, and distributes key, complex management reports with a high degree of accuracy. </li><li>Organizes, manages, and tracks written and email correspondence, maintaining logs and records of follow-up activities. </li><li>Procures required internal and external resources and services and manages their utilization. </li><li>May supervise office staff, performing basic Human Resources functions such as recruiting and interviewing. </li><li>May perform related duties as assigned; may participate in special projects and efforts to improve unit effectiveness. </li></ul> <p>Job Title Name: Administrative Executive Assistant</p> <p>CUNY TITLE</p> <p>Higher Education Assistant</p> <p>FLSA</p> <p>Non-exempt</p> <p>COMPENSATION AND BENEFITS</p> <p>Salary range: $74,515-84,011</p> <p>Salaries will conform to the upcoming PSC salary schedule as applicable.</p> <p>Position beyond June 30, 2026 is contingent upon available funding.</p> <p>CUNY's benefits contribute significantly to total compensation, supporting health and wellness, financial well-being, and professional development.
