This position supports the day-to-day administrative operations of the district's technical services team and assists in coordinating technology-related projects, communications, and purchasing activities:</p> <ul> <li>Answer incoming calls to the Technical Services office and provide information or direct inquiries to the appropriate staff </li><li>Schedule meetings and maintain calendars for the Technical Services leadership team. </li><li>Compose electronic and written communications, including notices, reports, and correspondence. </li><li>Interact with staff, vendors, administrators, and community members, offering assistance and guidance when needed. </li><li>Process technology-related purchase orders and invoices, acquire necessary approvals, and forward documentation to accounts payable. </li><li>Maintain records related to technology equipment, service contracts, and department documentation </li><li>Assist with coordinating technology projects, department initiatives, and meetings. </li><li>Maintain departmental files, inventories, and databases. </li><li>Support the general administrative operations of the Technical Services Department. </li></ul> <p>This is a Competitive Class Civil Service position. All candidates MUST hold permanent status in the title of Secretary (School Districts), or be reachable on the current Westchester County Civil Service list.</p> <p>Scarsdale Public Schools is an Equal Opportunity Employer, and encourages candidates from diverse backgrounds to apply.</p> <p>Position Purpose</p> <p>Under the direct supervision of the Manager of Educational Technology, the Technical Services Department Secretary provides clerical, secretarial, and administrative assistance in support of district technology operations. The position supports the coordination of communications, purchasing, documentation, and scheduling related to district technology services.</p> <p>Essential Functions</p> <ul> <li>Prepares, copies and distributes notices, memoranda or other correspondence for the purpose of informing staff regarding departmental activities, updates, or procedures. </li><li>Assists in planning and scheduling meetings, training sessions, and departmental activities, maintaining calendars for the Technical Services team. </li><li>Maintains documents, files, and records related to technology services, purchasing, equipment inventories, and department operations to ensure accurate reference and compliance. </li><li>Prepares purchase orders and processes invoices for technology equipment, software, and services, submitting documentation to the district's finance office. </li><li>Assists in maintaining inventories of technology equipment and office supplies to ensure availability of materials. </li><li>Assist visitors and staff contacting the Technical Services office. </li><li>Answers telephone calls, and provide information and assistance to callers. </li><li>Distribute incoming mail and prepares outgoing correspondence and shipments. </li><li>Evaluates situations for the purpose of taking appropriate action or directing inquiries to appropriate technical personnel. </li><li>Responds to inquiries from staff, administrators, and vendors, facilitating communication and providing direction as appropriate. </li></ul> <p>Additional Duties</p> <p>Performs other related duties, as assigned, for the purpose of ensuring the efficient and effective and effective functioning of the department.</p> <p>Note: The above description is illustrative of tasks and responsibilities. It is not meant to be all inclusive of every task or responsibility.</p> <p>Equipment</p> <p>Uses standard office equipment such as personal computer, copy machine, scanner, telephone, and district technology systems.</p> <p>Travel Requirements</p> <p>Limited travel to and from district buildings or meetings may be required.</p> <p>Knowledge, Skills and Abilities</p> <ul> <li>Ability to communicate effectively orally and in writing. </li><li>Ability to establish and maintain cooperative working relationships with staff, vendors, and administrators. </li><li>Ability to carry out written and oral instructions. </li><li>Ability to perform basic arithmetic operations. </li><li>Ability to understand, and use personal computers and software applications (e.g., Word, Excel, Google Workspace, Outlook, email systems). </li><li>Ability to organize and maintain records and documentation. </li><li>Ability to problem-solve job related issues and manage multiple priorities. </li><li>Ability to process paperwork accurately according to standardized procedures. </li><li>Ability to maintain confidentiality of information regarding students, employees and district operations. </li><li>Strong organizational and time management skills. </li><li>Knowledge of office management procedures. </li></ul> <p>Physical and Mental Demands, Work Hazards</p> <p>Works in a standard office environment with district administrative facilities.</p> <p>Qualification Profile</p> <p>Any combination of education and experience providing the required skill and knowledge for successful performance would be qualifying, in addition to eligibility for the Westchester County Civil Service title Secretary (School Districts).</p> <p>Typical qualifications would be equivalent to:</p> <ul> <li>Graduation from high school. </li><li>Computer skills, including data entry, reporting, word processing </li><li>Familiarity with Microsoft Office and/or Google Workspace applications. </li><li>Prior administration or office management experience preferred, particularly in a school district or technical environment. </li></ul> <p>FLSA Status: Non-exempt</p>
