The University's mission statement and a description of the history and concepts of the Ignatian teaching philosophy may be found at https://www.scranton.edu/about/jesuit-tradition/index.shtml.</p> <p>Department Counseling Center Job Purpose</p> <p>The Office Manager is responsible for supporting the daily operations of the Counseling Center including patient scheduling, electronic records management (Medicat), patient triage, preparing and compiling reports. A capacity for independent judgement and innate ability to appropriately communicate with various University constituents, especially students, is required. Confidentiality regarding patient health records must be maintained, which includes a strong working knowledge of FERPA and HIPAA regulations. The Office Manager reports directly to the Director of the Counseling Center and is expected to support the professional staff and flow of clients accessing the Counseling Center.</p> <p>Essential Duties</p> <ul> <li>Manage all functions of Medicat including, but not limited to, scheduling appointments, report generation, compiling data, editing forms, and supporting staff with system training and updates </li><li>Open and close office daily while managing phone calls/messages, greeting/directing students for appointments, support with walk-in appointments, support with crisis appointments, calendars for each counselor, creating the on-call schedule each semester, staff meeting schedules, and psychiatric appointment schedule including appointment confirmations of students and coordination of appointments with advanced practitioners </li><li>Communicates effectively in person, via telephone, and email with students, parents, faculty, administrators, and other University staff and ensures all are treated with respect and professional courtesy </li><li>Schedules appointments, manages the department's calendar, email account and manages/oversees provider schedules </li><li>Orders departmental, office supplies and completes various financial/budget tasks such as purchase orders, check vouchers, deposits, expense forms, etc. </li><li>Maintains the Counseling Center's website through the Content Management System (CMS) and create marketing materials for the department; oversees social media posts/presence </li><li>Assists Director with preparing reports including, but not limited to, Board of Trustees reports, annual reports, and assessment reports </li><li>Oversee administration of surveys for Counseling Center assessments </li><li>Maintain an up to date list of community mental health resources </li></ul> <p>Additional Skills Required</p> <ul> <li>Proficiency using Canva </li><li>Effective administrative/office management skills </li><li>Competent working knowledge of current computer software applications (Microsoft Office, Word and Excel) and demonstrated , strong technical skills </li><li>Ability to effectively communicate with students, parents, administrators, faculty, and staff members and outside constituencies </li><li>Ability to uphold and model high standards of confidentiality required of health care facility employees </li><li>Strong organizational and time management skills </li><li>Must be able to support the University's commitment to fostering a diverse, equitable, and inclusive culture </li><li>Must be able to respect, support and contribute to the University's Catholic and Jesuit mission </li></ul> <p>Minimum Education Requirements</p> <ul> <li>High school diploma or equivalent is required </li></ul> <p>Preferred Education</p> <ul> <li>Associate's degree preferred </li></ul> <p>Minimum Job Experience Requirements</p> <ul> <li>Minimum of two (2) years' clerical and/or administrative assistant experience </li></ul> <p>Preferred Qualifications</p> <ul> <li>Demonstrated office operations/management skills in a health care setting is preferred </li><li>Previous experience with electronic medical records is preferred </li></ul> <p>Years of Experience 2 University Classification Clerical FLSA Classification Non-Exempt Schedule/Work Hours Monday through Friday, 8:30 a.m. to 4:30 p.m. Additional hours as required.
