<p>About Berkshire Community College:</p> <p>Berkshire Community College (BCC) has the distinction of being the first community college established in the Commonwealth of Massachusetts. BCC seeks to recruit diverse employees who embrace, as well as demonstrate, a commitment to diversity and inclusion and whose experiences and perspectives model the opportunities and success derived from a college education.</p> <p>Job Description:</p> <p>Reporting to the Executive Director of the Osher Lifelong Learning Institute at BCC, this position provides administrative support for the OLLI at BCC program. This role serves as a main point of contact for our constituents, helping them enroll as members and for courses and events. This position will include preparation, review, and maintenance of course and event registration pages, event planning and execution, and data entry. The Administrative Assistant will assist volunteer instructors and members with technical issues in the in-person and virtual classroom. This position will work closely with the Executive Director to ensure the smooth functioning of OLLI and support the volunteers and staff.</p> <p>Responsibilities:</p> <ul> <li>Facilitate accurate posting, coordinating, and registration for OLLI courses and events. </li><li>Process payments, deposits, and invoices. </li><li>Communicate accurate and timely information to course and program participants. </li><li>Coordinate membership processes. </li><li>Coordinate timely and accurate email communications members, volunteers, and registrants. </li><li>Prepare periodic and special reports and communications. </li><li>Provide general clerical support for the department including, but not limited to, inventorying and ordering office supplies; processing travel vouchers, purchase requisitions, and check requests; coordinating facility use requests; copying documents. </li><li>Interact with OLLI committee chairs and provide administrative support for special projects and events as needed. </li><li>Serving as a vital point of contact with members and potential members. </li><li>Communicate and meet with OLLI instructors for run throughs and tech checks. </li><li>Recruit, train & coordinate OLLI members serving as class facilitators. Provide on-campus and online instructors with administrative and AV assistance, as needed. </li><li>Serve as support staff for a portfolio of courses and events. </li><li>Schedule meetings, events and classes in Astra as needed and attend weekly facility meetings to ensure coordination for OLLI events, classes and meetings. </li><li>Follow up on a number of database tasks including unpaid registrations. </li><li>Post videos for classes and events to Padlets and/or YouTube, email attendees. </li><li>Assist ED with supervision of student worker tasks. </li></ul> <p>Requirements:</p> <p>Minimum Qualifications & Requirements:</p> <ul> <li>Experience working in a collaborative manner with diverse constituencies. </li><li>Proficiency with MS Office Suite and web editing tools. </li><li>Proficiency with data entry. </li><li>Experience with running and troubleshooting Zoom meetings and webinars. </li><li>Excellent interpersonal and organizational skills. </li><li>Excellent verbal and written communication skills. </li><li>Ability to write concisely, express thoughts clearly and to develop ideas in logical sequence. </li><li>Ability to exercise discretion handling confidential information. </li><li>Ability to provide excellent customer service. </li></ul> <p>Applicants must have:</p> <p>At least (A) three years of full-time, or equivalent part-time, experience in office management, office administration, business administration or business management, the major duties of which included one or more of the following functions: purchasing, personnel management, budgeting, accounting, records management, work simplification, grants management, contract administration or program management, or (B) any equivalent combination of the required experience and the substitutions below.</p> <p>An Associate's or higher degree with a major in business administration, business management or public administration may be substituted for a maximum of two years of the required experience.*</p> <p>An Associate's or higher degree with a major other than in business administration, business management or public administration may be substituted for a maximum of one year of the required experience.*</p> <ul> <li>Education toward such a degree will be prorated on the basis of the proportion of the requirements actually completed. </li></ul> <p>Note: You may substitute up to two years of education for the required experience.</p> <p>Preferred Skills & Qualifications:</p> <ul> <li>Experience working with older adults. </li><li>Experience working with volunteers. </li></ul> <p>Additional Information:</p> <ul> <li>Source of Funding: Grant Funded </li><li>Salary: $53,792.70 per year; Full-time; Benefited; Grade 15 </li><li>Union: AFSCME </li><li>Supervisor: Executive Director of OLLI </li><li>Area of Assignment: Osher Lifelong Learning (OLLI) </li><li>Effective Date: August 2025 </li></ul> <p>Massachusetts Class Specifications for the Administrative Assistant series are available on the Massachusetts Department of Higher Education Website.</p> <p>Pursuant to the Clery Act of 1990 a copy of Berkshire Community College's security report is available on the BCC Website.</p> <p>BCC is committed to providing an inclusive learning and working environment that values the diverse backgrounds of all people and encourages applications from individuals whose experiences and perspectives model the opportunities and success derived from a college education.</p> <p>Berkshire Community College is an affirmative action/equal opportunity institution and does not discriminate on basis of race, creed, religion, color, gender, gender identity, sexual orientation, age, disability, genetic information, maternity leave, military service, and national origin in its education programs or employment.
