<p>About Alma</p> <p>Alma del Mar is a K-8 charter school whose mission is to put every one of our scholars on the path to college and to challenge them to be service-minded leaders. We do this by immersing our scholars in a highly demanding, highly supportive environment where they receive a content-rich education. As an Expeditionary Learning school, Alma brings to life a three dimensional vision of student achievement that includes mastery of knowledge and skills, character, and high-quality student work.</p> <p>We're located in New Bedford, Massachusetts a beautiful coastal city known for its history as the heart of the whaling industry and as a central hub of the abolitionist movement.</p> <p>Alma gets results for kids. Alma scholars not only outperform their district peers on MCAS, they often outperform their peers in the surrounding suburbs. In some areas, our scholar achievement now matches some of the highest performing schools in the Commonwealth. We have been nationally recognized for our work with English Language Learners.</p> <p>The Office Manager Role</p> <p>The Office Manager is the face of Alma to school visitors and a key member of the campus operations team. They are responsible for overseeing the front school office and making sure that staff and parents have what they need so that every scholar can succeed. They manage the front office to be welcoming and efficient.</p> <p>Primary Responsibilities</p> <p>Front-Office Management</p> <ul> <li>Welcome visitors; serve as gatekeeper to address questions and minimize interruptions of the school leadership team </li><li>Maintain a clean and organized office environment; maintain complete sets of commonly used forms for staff and families </li><li>Manage the front desk staff. </li><li>Support receptionist with finding answers to questions and problem solving issues </li></ul> <p>Student Information, Data, & Reporting</p> <ul> <li>Onboard new scholars, and coordinate scholar files with the Registrar. </li><li>Use Alma's Student Information System (SIS) to reconcile student attendance daily </li><li>Use the SIS to maintain and update all student contact/demographic information. </li><li>Manage student issues, such as processing late arrivals and following-up with the families of absent students </li><li>Assist the Dean of Operations with the administration and processing of regular student tests. </li><li>Produce accurate and timely student attendance, disciplinary, honor roll, and other reports for the school admin team. </li><li>Assist the Registrar with compilation of student data for various reports </li></ul> <p>Supplies and Equipment Ordering and Maintenance</p> <ul> <li>Fulfill staff supply requests </li><li>Maintain office equipment (aka ensure copiers are operational and fully stocked with toner, paper, etc.) </li><li>Conduct weekly supply inventory/equipment check. Reorder and restock as necessary. </li></ul> <p>General School Support</p> <ul> <li>Assist the Director of School Operations in preparing the campus annually for start up/new school year launch </li><li>Support the operations staff </li><li>Independently execute plans for school events, test administration and processing, production and distribution of school memos, etc. </li><li>Assist with filing of documents and records </li></ul> <p>Scheduling and Communication</p> <ul> <li>Manage school calendars through Google calendar, including maintaining information on campus calendar like staff birthdays, staff meetings and planned absences. </li><li>Manage booking internal and external locations for special events and small groups (IEP meetings, dental clinic visits, etc.) as needed. </li><li>Book transportation for scholars for field trips. </li><li>Send out schoolwide notices to families. </li></ul> <p>Who We're Looking For</p> <p>We seek outstanding staff with the following qualifications:</p> <ul> <li>Associates degree or higher </li><li>At least 2 years of experience managing an office in a public facing setting like a school or medical office required. </li><li>Ability to problem solve independently and collaboratively </li><li>Self-starter with a high level of initiative </li><li>Strong knowledge of calendar, email, and spreadsheet management through Google Suite or similar. </li><li>Flexible and adapts to new technologies and initiatives </li><li>Well organized and detail oriented </li><li>Communicates effectively both verbally and in writing </li><li>Authorized to work in the United States </li><li>English proficiency is required </li><li>Spanish language proficiency is highly preferred. </li><li>Multilingual candidates are highly encouraged to apply, especially those with proficiency in Spanish, Portuguese or Cape Verdean Creole </li></ul> <p>What You Can Expect</p> <ul> <li>A comprehensive benefits package including medical, dental, vision insurance and retirement </li><li>A salary based on years of experience in the range of $45,000 - $60,000 </li><li>Weekly meetings with a manager who supports you </li><li>Friendly, supportive, #almazing colleagues </li></ul> <p>Compensation: Salary will be competitive and commensurate with experience.
