<p>POSITION: Accounts Payable Specialist</p> <p>REPORTS TO: Treasurer or Designee</p> <p>EMPLOYMENT STATUS: Full -Time, 250 Days, FLSA Exempt</p> <p>QUALIFICATIONS:</p> <ul> <li> <p>High school diploma or equivalent (Associate's or Bachelor's degree in accounting, finance, or related field preferred).</p> </li><li> <p>Previous experience in accounts payable, bookkeeping, or accounting role, preferably in a school or educational setting.</p> </li><li> <p>Proficiency in accounting software and Microsoft Office applications, particularly Excel, Word, and Outlook.</p> </li><li> <p>Strong attention to detail, accuracy, and organizational skills.</p> </li><li> <p>Excellent communication and interpersonal skills, with the ability to work effectively with vendors, staff, and stakeholders.</p> </li><li> <p>Ability to prioritize tasks, meet deadlines, and work independently with minimal supervision.</p> </li><li> <p>Knowledge of accounting principles, financial regulations, and accounts payable best practices.</p> </li><li> <p>Familiarity with school finance systems, policies, and procedures is a plus.</p> </li><li> <p>Suited for situations that require the ability to plan ahead, yet remain flexible enough to adapt to new situations or react to emergencies</p> </li><li> <p>Able to work cooperatively with students, parents, teachers, school staff, administrators, and the general public</p> </li><li> <p>Must pass a criminal background check</p> </li><li> <p>Hold a valid Ohio Driver's License</p> </li></ul> <p>GENERAL DESCRIPTION:</p> <p>The Accounts Payable Specialist plays a crucial role in the financial operations of the school, responsible for processing invoices, maintaining accurate financial records, and ensuring timely payment of bills and expenses. They work closely with school administrators, vendors, and other staff members to manage accounts payable functions efficiently and accurately.</p> <p>ESSENTIAL FUNCTIONS:</p> <ul> <li> <p>Receive and review invoices from vendors, verifying accuracy, completeness, and compliance with purchase orders, contracts, and budgetary guidelines.</p> </li><li> <p>Enter invoice information into the accounting system or software accurately and promptly, assigning appropriate account codes, cost centers, and expense categories for tracking and reporting purposes.</p> </li><li> <p>Prepare and process payments to vendors, including checks, electronic transfers, and ACH payments, ensuring that payments are made in accordance with payment terms and deadlines.</p> </li><li> <p>Maintain vendor records and contact information, respond to vendor inquiries regarding payment status or invoice discrepancies, and resolve billing issues or disputes as needed.</p> </li><li> <p>Reconcile accounts payable transactions with purchase orders, receiving reports, and payment records to ensure accuracy and completeness of financial data.</p> </li><li> <p>Generate reports and summaries of accounts payable activity, aging reports, and other financial reports as requested by school administrators, auditors, or regulatory agencies.</p> </li><li> <p>Assist in monitoring and managing the school's budget by tracking expenditures, identifying variances, and providing financial data and analysis to support budget planning and decision-making.</p> </li><li> <p>Ensure compliance with school policies, accounting standards, and regulatory requirements governing accounts payable processes, including proper documentation, approval procedures, and record retention.</p> </li><li> <p>Maintain organized and up-to-date files and documentation related to accounts payable transactions, invoices, purchase orders, and payment records for audit and reference purposes.</p> </li><li> <p>Collaborate with school administrators, purchasing staff, and other departments to coordinate procurement activities, resolve discrepancies, and streamline accounts payable processes.</p> </li><li> <p>Maintain and track employee use of school credit cards.</p> </li><li> <p>Attend meetings requested by Treasurer or Assistant Treasurer</p> </li><li> <p>Assist with secretarial duties, such as, answering phones, mailings, greeting visitors, etc.</p> </li></ul> <p>OTHER DUTIES AND FUNCTIONS:</p> <ul> <li> <p>Other duties as assigned by the Treasurer or Designee</p> </li><li> <p>Serves as a role model for students in how to conduct themselves as citizens and as responsible, intelligent human beings.</p> </li><li> <p>Conducts and presents the position in a professional manner.</p> </li><li> <p>Maintains a positive work attitude.</p> </li><li> <p>Effectively uses verbal, nonverbal, writing, and listening skills.</p> </li><li> <p>Actively seeks to acquire knowledge and skills to meet new challenges through involvement in professional development activities.</p> </li><li> <p>Is punctual and thorough in implementation of all assigned duties.</p> </li></ul> <p>KNOWLEDGE OF: Board policies and procedures, building policies and procedures, student code of conduct, community resource agencies, emergency preparedness drills, public relations, federal and state reporting, and records management.</p> <p>ABILITY TO: Interpret policies, procedures and regulations, follow instructions, communicate effectively, prepare, maintain, and file accurate and concise reports, collect data, recognize individual differences, lift a moderate amount of weight, develop a rapport with students, staff, co-workers, administration and the public.</p> <p>ADDITIONAL WORKING CONDITIONS AND ENVIRONMENT:</p> <p>OCCASIONAL: Exposure to inclement weather driving conditions and severe weather, traffic, loud noise, unruly children/adults; attends functions or performs duties outside normal working hours; exposure to blood, bodily fluids and tissue. Light lifting, up to 50 pounds.</p> <p>PERIODIC: Exposure to inclement weather driving conditions and severe weather, heavy equipment, unruly children/adults; exposure to common childhood illnesses.</p> <p>FREQUENT: Exposure to blood, bodily fluids and tissue. Prolonged periods of standing and lifting (10-20 pounds).
