<p>The West Boylston Public School District is seeking a highly organized, detail-oriented, and proactive Administrative Assistant to support the daily operations of the Special Education and Pupil Services Office. This critical position ensures compliance with state and federal mandates, manages student data, coordinates transportation, and supports reporting, billing, and communication processes. The ideal candidate will thrive in a fast-paced, student-centered environment and enjoy working collaboratively while independently managing complex tasks.</p> <p>Responsibilities Include:</p> <ul> <li>Maintain and track Special Education records for accurate DESE state reporting </li><li>Conduct quality checks on IEPs; follow up on incomplete documentation </li><li>Maintain IEP status logs (signed, unsigned, rejected, no special needs) </li><li>Notify DESE of rejected/unsigned IEPs and manage final processing and documentation </li><li>Upload/manage Circuit Breaker and Out-of-District placement documentation, invoices, and transportation </li><li>Support staff in platforms like SchoolBrains and Adobe Acrobat Sign; tech issues as needed </li><li>Maintain accurate student data in SIS and special education software </li><li>Create/update internal process guides and forms to ensure DESE compliance </li><li>Track documentation for McKinney-Vento, Foster Care, ELL, and School Choice students </li><li>Create/maintain both digital and physical filing systems </li><li>Generate reports for district leaders including the Superintendent and School Committee </li><li>Support the Director with budgeting, purchase orders, and ordering procedures </li><li>Consult with IT to ensure accurate DESE data reporting </li><li>Attend DESE trainings to remain current on regulations and data collection procedures </li></ul> <p>Minimum Qualifications:</p> <ul> <li>Bachelor's Degree </li><li>Office experience (filing, typing, bookkeeping) </li><li>Proficiency with Google Suite, Microsoft Office, and Adobe Acrobat Sign </li><li>Strong communication skills (verbal and written) </li><li>Ability to multitask and manage confidential information </li><li>Experience with SchoolBrains, SoftRight, or similar education/financial systems preferred </li></ul> <p>Preferred Qualifications:</p> <ul> <li>Two or more years of administrative experience in education or special education </li><li>Knowledge of DESE reporting, Circuit Breaker reimbursement, and special education billing/contracts </li><li>Strong spreadsheet and reporting skills (e.g., formulas, tables) </li><li>Ability to develop and streamline forms and processes for efficiency and compliance </li></ul> <p>Salary & Schedule: 12-month position (35 hours per week) Salary commensurate with experience and district guidelines Benefits in accordance with the district's secretarial contract</p>
