<p>Position Description</p> <p>The Program Coordinator plays a vital role in supporting various programs within the School of Education. This position is responsible for coordinating the daily operations of the Multiple Subject, Single Subject, and Early Childhood Education credential programs. The Program Coordinator ensures the smooth execution of program logistics, maintains timely and effective communication among faculty, staff, students, and external stakeholders, and provides administrative support to program leadership.</p> <p>In collaboration with program directors, the Program Coordinator also contributes to the state accreditation process by organizing documentation as needed, tracking program data, and ensuring compliance with relevant standards and timelines. This role requires strong organizational skills, attention to detail, and the ability to work independently while maintaining a commitment to high-quality service for prospective and current teacher candidates.</p> <p>Alignment with Theological Positions</p> <p>Affirm Alignment with Theological Positions: The person who fills this position must be someone who personally agrees with Biola's Articles of Faith and Statement of Biblical Principles and who is supportive of the positions taken by Biola as contained in its Eschatology Teaching Position. As such, this person may not speak against or act in a manner inconsistent with these positions during the course of their employment at Biola.</p> <p>Department</p> <p>School of Education</p> <p>Supervisor</p> <p>This position reports to the Dean of the School of Education</p> <p>Educational Requirements</p> <p>Bachelor's Degree required</p> <p>M.A./M.S. preferred</p> <p>Credential preferred</p> <p>Work Requirements</p> <p>Non-exempt (02) Full-time, 40 hours, 11 months per year</p> <p>Essential Duties</p> <ul> <li>Administrative Support, with special focus on Multiple-Subject, Single-Subject, and Early Childhood Programs </li><li>Communications and Outreach </li><li>External Partner Contracts </li></ul> <p>Administrative Support</p> <p>Coordinate daily operations and logistics for credential programs, including communications, event support, and student-facing services. Support the Directors of Single Subject, Multiple Subject, and Early Childhood as needed.</p> <ul> <li>Provide comprehensive administrative and operational support to program directors for Multiple Subject, Single Subject, and Early Childhood credential programs. </li><li>Coordinate intake for the Multiple- and Single-Subject Intern Credential Program, including processing applications, supporting Intern Support Seminar registration (e.g., course overrides, planning), and assisting with intern MOU outreach. </li><li>Collaborate with the Lead Academic Advisor to maintain knowledge of university policies and ensure alignment between academic processes and credentialing requirements. </li><li>Develop and maintain program tracking systems related to registration, advising accuracy, and compliance with registrar policies. </li><li>Serve as a first point of contact for general program inquiries; triage questions and connect students with appropriate advisors or offices. </li><li>Support program directors and credential analysts with materials and presentations for orientations, First Year Seminar sessions, and core credential courses. </li><li>Assist Lead Academic Advising & Credentialing Specialist with the preparation and submission of CIM proposals and program documentation related to curriculum changes or updates. </li><li>Assist Director of Early Childhood program in determining eligibility for scholarships. </li><li>Support accreditation processes as needed. </li><li>Assist with course waiver processes and other registration support as needed for all 3 programs, in collaboration with program directors and academic advisors. </li></ul> <p>Review with Senior Credential Analyst current legislation changes/requirements and strategize on how to communicate and implement these changes in the School of Education for the Multiple-Subject, Single-Subject, and Early Childhood Programs.</p> <p>Event Support</p> <ul> <li>Attend and assist in the planning of program information sessions, orientations, and events for prospective and current students. </li><li>Provide logistical and on-site support for School of Education-hosted or admissions events as needed, as well as events specifically for the Multiple- and Single-Subject and Early Childhood Programs (e.g., IMPACT Series). </li><li>Represent the School of Education at relevant conferences and community events; gather materials, manage logistics, and engage with stakeholders. </li></ul> <p>Marketing, Outreach, & Communications</p> <p>? Help develop and distribute marketing and outreach materials for credential programs in collaboration with program leadership.</p> <p>? Support Directors and Chairs in organizing and implementing logistical details for professional development events in local schools</p> <p>? Accurately communicate program details to prospective students via email, phone, and in person.</p> <p>? Collaborate with Graduate Admissions Liaison & Program Coordinator to maintain active alumni contact records, update BiolaHub, and support alumni tracking and employment data collection to ultimately support alumni engagement and contribute to promotional efforts.</p> <p>External Partner Contracts</p> <p>? Manage MOUs and certificates of insurance in conjunction with school partners from initiation to completion (for field placements, student teaching, Interns, Speech Language Pathology, etc.)</p> <p>Technology & Data Collection</p> <ul> <li>Administer Formstack workflows for graduate admissions, intern credentialing, and course waiver requests. </li><li>Support data reporting and analysis efforts for accreditation and assessment platforms such as Taskstream, in collaboration with the Director of Clinical Practice. </li></ul> <p>General Expectations</p> <p>? Attend and participate in monthly School of Education meetings, weekly staff meetings, and program committee meetings or subcommittees as needed. Record minutes as needed.</p> <p>? Performs other duties as assigned by the Directors of Credential Programs or Dean within Biola's School of Education.</p> <p>Required Skills/Qualifications</p> <p>? Administrative experience (3 years highly desired)</p> <p>? Experience in the Field of Education ( 3 years highly desired)</p> <p>? Strong technology skills: Ability to learn and attain high proficiency with software programs and databases used within the department and the institution (Microsoft Office, Google Workspace, FileMaker Pro, Formstack, Adobe Acrobat, Banner, EAB Navigate, Perceptive Content, Degree Works, Taskstream, etc.)</p> <p>? Ability to manage details in a busy work environment with more than one supervisor</p> <p>? Ability to work amicably under pressure</p> <p>? Excellent interpersonal communication and public relations skills</p> <p>? Business correspondence and letter writing skills</p> <p>?
