<p>POSITION TITLE: Executive Assistant</p> <p>CLASSIFICATION: Full-time;twelve month; exempt; confidential</p> <p>REPORTS TO: Superintendent</p> <p>HOURS: Monday-Friday, 7:30 am- 4:00 pm is the typical schedule, adjustments to be determined by the Superintendent. This position requires frequent work outside regular, day time, work hours including attending evening meetings of the School Committee to take minutes.</p> <p>GENERAL SUMMARY Provides administrative support to the Superintendent and administrative services to the District</p> <p>ESSENTIAL JOB FUNCTIONS</p> <p>1.Maintaining District policy manuals and supporting regular updates to District Policy as required by the Superintendent and School Committee 2.Coordinating Superintendent schedule including scheduling meetings and interviews and organizing registrations for external meetings and conferences 3.Creating and maintaining in a confidential manner all files pertinent to personnel such as District employee applications, performance evaluations, attendance and disciplinary records, and employee contracts 4.Assisting in formulation of School Committee and School Committee Subcommittee agendas and distributing materials to School Committee 5.Responding to School Committee requests for information 6.Maintaining School Committee members appointment and training records and communicating with member towns when terms are expiring or positions are vacant 7.Assisting the Superintendent and Human Resources personnel with maintaining up to date job descriptions for all positions and supporting all aspects of employee onboarding process including position postings, interview scheduling, verifying employment, reference checks, and drafting initial contracts. 8.Assist with implementing Human Resources policies and procedures regarding the processing of CORI's, SORI's, finger printing records, and responsible for maintaining up-to-date CORI records on all employees and volunteers. 9.Maintain up to date internal employee contact information and external employee emergency contact information 10.Producing correspondence, reports, forms, memoranda and other written documents and reviewing and editing confidential documents 11.Handling and, as directed, responding to, mail for Superintendent, including composing basic correspondence and placing and answering telephone calls 12.Maintaining master key lists for the school facility and manages key sign out process 13.Supervising secretarial staff, including assigning and coordinating work as directed by Superintendent. 14.Preparation of Superintendent recommendations for collective bargaining negotiations 15.Assisting the Superintendent and School Committee in processing of employee grievances 16.Developing and implementing a calendar to assure the timely filing of federal, state and local reports and forms, developing and maintaining file of relevant pending and enacted laws 17.Preparing and placing District legal notices and posting meetings in accordance with Open Meeting Law 18.Assisting the Records Access Officer with responding to Public Records Requests and meeting required timelines 19.Assisting with annual development of the Superintendent Office and School Committee budget and entering in purchase requisitions, maintaining Superintendent and School committee travel expense records 20.Greeting visitors to Superintendent's office 21.Maintaining regular attendance and punctuality</p> <p>KNOWLEDGE, SKILLS, AND ABILITIES</p> <p>1.Ability to process, and appropriately maintain, sensitive, confidential material 2.Ability to be extremely organized and detailed oriented, and maintain confidentiality. 3.Familiarity with District member towns 4.Strong technology skills, including Google Suite and Microsoft Office and ability to use all office equipment efficiently 5.Supervisory skills 6.Strong verbal and written communication skills 7.Ability to exercise discretion appropriately, work independently, and carry out complex assignments with general instructions 8.Ability to interact appropriately, and in a positive manner, with the School Committee, public, staff, and students 9.Basic business mathematics 10.Ability to learn and understand District rules and procedures and District's legal requirements</p>
