<p>Description</p> <p>The Veterans and Military Services Coordinator develops and coordinates a comprehensive program of support and services for veterans, military-connected students and students in the ROTC program, including certifying benefits and student health insurance for all veteran college students in compliance with both Federal and State regulations and College policies.</p> <p>The Veteran's Coordinator is responsible for promoting an excellent customer service-oriented environment within the Student Accounts Office and the Veterans Center. The position has a dual reporting line to the Director of Student Accounts & Assistant Dean for Student & Parent Engagement. It collaborates with the Office of Admissions, the Director of Non-Discrimination Initiatives and other offices to provide administrative and programmatic support for veteran and military-connected students. This is a front facing position.</p> <p>Actual salaries will vary depending on multiple factors, including but not limited to degrees attained, experience, and other considerations permitted by law. Comprehensive compensation details, including any additional benefits, will be communicated upon finalization of the employment offer.</p> <p>Responsibilities</p> <ol> <li>Analyze and determine individual student's military benefit eligibility based on course registration and degree applicability under current Department of Veteran Affairs regulations and certify tuition and fees through Enrollment Manager (VA reporting software) and Vocational Rehabilitation Counselors, as appropriate. Certify students for VA benefits through use of Enrollment Manager software. Monitor student activity throughout the semester, troubleshoot and adjust VA certification accordingly based on VA regulations to insure institutional compliance. Troubleshoot and resolve student issues; explain requirements, regulations and processes associated with DoD and VA education benefits as well as the status of individual recipients. Responsible for reporting required grade, registration and academic standing status to the Department of Veterans Affairs through Enrolment Manager (VA reporting software) and Vocational Rehabilitation Counselors, as appropriate, including generating and evaluating reports for accuracy and reporting requirements. </li></ol> <p>a) Maintain files (digital and hard copy) on each student with Veteran benefits for a minimum of three years in regards to respective VA Chapters and eligibility.</p> <p>b) Comply with Dept. of Education's Veterans Affairs Office requirements in order to maintain funding from State and Federal agencies.</p> <p>c) Responsible for reporting required grade, registration and academic standing status to the Department of Veterans Affairs for all campuses, through Enrollment Manager (VA reporting software) and Vocational Rehabilitation Counselors, as appropriate, including generating and evaluating reports for accuracy and reporting requirements.</p> <p>d) Responsible for working with all State Approving Agencies to keep them informed of any changes to programs; tuition and fees; policies and procedures; contact information of certifying officials; and other information as needed. This requires working closely with the Registrar; and Regional and Online Campus Director. As programs and other information change, addendums needed to be drafted and submitted to all state agencies and VA offices. WEAMS and VA Once need to be closely</p> <p>monitored to ensure information is accurate, otherwise students will not receive benefits.</p> <p>e) Attend yearly conferences; webinars and other VA and State Approving Agency (SAA) workshops to maintain current knowledge of federal and state (to include all states of our regional campus sites) regulations and laws to ensure the college remains in compliance. Attend monthly VA office hours to keep updated with regulations and requirements.</p> <p>f) Review all Veteran information on college and department websites to ensure information is current. The college catalog</p> <p>must be closely reviewed each semester.</p> <ol start="2"> <li>Responsible for obtaining and renewing VA certification in states where the College has campuses. Identify VA students from Admissions applications to accurately code and remark veteran student accounts. </li></ol> <p>a) Update and approve catalog for VA in states where the College operates campuses</p> <p>b) Serves as a direct liaison between all Springfield College dep, the Main Campus and Veterans Affairs.</p> <p>c) Research Veterans chapters to determine student benefit eligibility and update students' accounts accordingly.</p> <p>d) Uphold state, federal regulations and college policy as it pertains to Veteran Affairs processes. Maintains appropriate Federal and State certifications annually.</p> <p>e) Certify and bill student Veteran Accounts. Upload student data and certify student enrollment in VA systems (i.e. Enrollment Manager). Confirm student enrollment, certify, and accurately bill VA for eligible student tuition and fees.</p> <p>f) Obtain respective POs to invoice VA and receive funds. Code ACH payments for Student Accounts Receivable Coordinator and Representative.</p> <p>g) Provides Veteran's data as requested to other departments.</p> <p>h) Works with ArmyIgnitED project for VA tuition assistance.</p> <p>i) Represent the Student Accounts Office as it pertains to the Veterans function at various college events (i.e. orientations).</p> <ol start="3"> <li>Oversee the Veterans and Military Services Center, including ensuring hours of operations are adequately staffed. Develop and implement programming to create social connections and educational information for students connected with the Center. This includes collaboration and outreach efforts with internal and external stakeholders. </li></ol> <p>a) Provide walk-in support for veteran, military-connected and ROTC students and make referrals to campus resources for educational, personal, or career-related needs.</p> <p>b) Support ROTC initiatives at the Veterans Center.</p> <p>c) Assist with the coordination and promotion of the annual Veteran's Day ceremony as well as other military-related ceremonies and recognition events.</p> <p>d) Serve as chair of the Veterans Committee and coordinate the application process for the Military Friendly Schools Award.</p> <p>e) Independently administer the Veterans Affairs Work-Study Program, serving as the primary institutional liaison with the U.S. Department of Veterans Affairs and assuming responsibility for regulatory compliance, risk mitigation, and audit readiness; ensure adherence to federal guidelines, reporting requirements, eligibility verification, and record-keeping standards while overseeing recruitment, hiring, training, supervision, scheduling, and performance evaluation of VA work-study students at the Veterans Center.</p> <p>f) Serve as the Advisor for the Student Veterans and Military Supporters Club.</p> <ol start="4"> <li>Coordinate with the Office of Admissions and other departments to host prospective Veteran students for campus visits. Create partnerships with faculty departments and veteran and military-connected groups to develop educational partnerships and grant funding opportunities. Promote Springfield College and the Veterans Center to prospective students and families. </li></ol> <p>a) Work with the Office of Communications to update webpage with any new policy changes or resources specific for veterans and military connected students.</p> <p>b) Develop and maintain social media accounts, Facebook/Instagram pages and other promotional and outreach materials for programs and services offered through the center.</p> <ol start="5"> <li>Develop mechanisms to collect data, prepare reports and maintain records on program activities, outcomes, and participation. </li></ol> <p>Qualifications</p> <ul> <li>Bachelor's Degree Required </li><li>Master's Degree Preferred </li><li>Minimum of 1-3 Years of Work-Related Experience Required </li></ul> <p>Knowledge, Skills & Abilities</p> <ul> <li>Must be a well-organized, high energy individual with excellent customer service skills. </li><li>Ability to guide and mentor students while making appropriate referrals. </li><li>Strong verbal and written communication skills; ability to communicate verbally and through written word to students and families while upholding exceptional customer service values. </li><li>Demonstrated understanding of federal and state regulations and industry best practices as pertains to the Student Accounts area; understanding of Generally Accepted Accounting Principles (GAAP). </li><li>An intermediate level of proficiency with Microsoft Excel and experience with other Microsoft Office applications. </li><li>Must be able to set priorities and work both independently and as part of a team. </li><li>Ability to maintain a high level of poise and professionalism under all circumstances. </li><li>Demonstrable good judgment, ability to work under pressure, and maintain a high level of confidentiality. </li><li>An ability to work effectively to meet strict deadlines. </li><li>Excellent attention to detail in order to maintain the highest quality standards. </li><li>Willingness to learn and incorporate skills from other student service-centric areas such as Financial Aid and Registrars. </li></ul>
