<p>Position Title Executive Assistant and Office Manager for Human Resources and Culture Position Summary</p> <p>The Executive Assistant and Office Manager provides advanced, high-level administrative support to the Vice President for Human Resources and Culture (VP) in a dynamic higher education environment. The incumbent will work closely and collaborate with the Chief of Staff of Human Resources to ensure the smooth operation of administrative functions. This role requires discretion, judgment, initiative, and a deep understanding of the College's policies and academic culture.</p> <p>Essential Duties and Responsibilities</p> <p>Executive Support:</p> <ul> <li>Manage complex calendars, schedule high-level meetings, and coordinate travel arrangements. </li><li>Prepare and review correspondence, reports, and presentations on behalf of the Vice President. </li><li>Handle confidential and sensitive information with integrity and discretion. </li></ul> <p>Communication and Liaison:</p> <ul> <li>Serve as the primary point of contact and serve as liaison between the VP and internal/external stakeholders, including faculty, staff, students, and governing bodies. </li><li>Coordinate communications across multiple departments and ensure timely responses to inquiries. </li></ul> <p>Office Management:</p> <ul> <li>Oversee day-to-day operations of the Vice President s office, ensuring efficiency and professionalism. </li><li>Answering phone calls, screening visitors, coordinating internal and external resources, and cultivating relationships with vendors. </li><li>Manage the Division of Human Resources daily office operations to include administrative tasks, schedule meetings, manage travel, and oversee office functions/events, ensuring smooth and efficient operations. </li></ul> <p>Project and Initiative Support:</p> <ul> <li>Assist in planning, executing, and tracking projects and strategic initiatives. </li><li>Conduct background research and compile briefing materials for meetings and presentations. </li></ul> <p>Information Management:</p> <ul> <li>Compiling data, maintaining records, and updating databases. </li><li>Maintain confidential filing systems (electronic and paper) and ensure appropriate document retention. </li></ul> <p>Meeting and Event Coordination:</p> <ul> <li>Organize high-level meetings, retreats, committee sessions, and College events. </li><li>Prepare agendas, take and distribute meeting minutes, and track follow-up actions. </li></ul> <p>Confidentiality and Professionalism:</p> <ul> <li>Handling sensitive information with discretion and maintaining a professional demeanor </li></ul> <p>Collaboration and Teamwork:</p> <ul> <li>Working with other staff members to ensure efficient and effective office operations. </li></ul> <p>Required Qualifications</p> <ul> <li>Bachelor's degree or equivalent combination of education and experience. </li><li>5-7 years of progressively responsible administrative experience, preferably in a higher education setting. </li><li>Proficiency with Microsoft Office Suite, Google Workspace, and enterprise calendar/email systems. </li><li>Excellent organizational, written, and verbal communication skills. </li><li>Ability to prioritize tasks, manage multiple deadlines, and work independently. </li></ul> <p>Preferred Qualifications</p> <ul> <li>Experience supporting senior executives in academia. </li><li>Familiarity with College governance, academic protocols, and higher education terminology. </li><li>Strong interpersonal skills and the ability to work effectively with diverse populations. </li></ul> <p>Certifications, Licenses, Restrictions</p> <p>None</p> <p>Physical Demands</p> <p>While performing the duties of this job, the employee is regularly required to: sit, walk, use hands to handle office supplies, operate computer and other office equipment, talk, and hear. The employee is frequently required to: reach with hands and arms. The employee is occasionally required to: stand, stoop, climb, taste and smell, and lift and/or move up to 15 pounds.
