Discover your opportunities at Yale!</p> <p>Overview</p> <p>Provides high level administrative support for the Rule of Law clinic. Responsible for making travel arrangements for heavy volume of both student and speaker travelers; processing expense reimbursements and other payments; arranging for event logistics both on-site and at other locations. Oversees logistics, researches and makes recommendations on logistical or administrative matters.</p> <p>Principal responsibilities include</p> <ul> <li> <p>Oversees and coordinates program activities. Establishes, selects, implements, and coordinates administrative functions, procedures, and systems</p> </li><li> <p>Makes travel arrangements and reviews against current University policy to ensure compliance; arranges and logistically supports meetings and events. Processes expense reimbursements, vendor invoices, contracts and other payments in accordance with University policies."</p> </li><li> <p>Based on knowledge of and experience with program activities, objectives and staff, serves as principal source of information on policies, procedures, programs and office activities. Oversees process for hiring undergraduate and law student research assistants for term time and summer work.</p> </li><li> <p>Establishes and maintains professional relationships with internal and external contacts.</p> </li><li> <p>Acts as Rule of Law Clinic's Budget and Business Coordinator. Processes and monitors expenses and ensures adherence to budgetary guidelines. Prepares budget drafts based on existing budgets. May oversee, coordinate and/or complete applications and materials needed for grant submission.</p> </li><li> <p>Composes substantive correspondence and written material. Determines sources of data.</p> </li><li> <p>Compiles, synthesizes and manipulates data. Summarizes findings and writes, produces and distributes reports or portions of reports. May create simple databases.</p> </li><li> <p>Provides editorial support for a journal/publication. Proofreads and edits material for grammatical and factual accuracy. Tracks copy through various editing and production stages.</p> </li><li> <p>Communicates with authors, printers, and others concerned with published work.</p> </li><li> <p>Oversees, instructs, and coordinates activities of support staff. Deals with outside vendors. Coordinates onboarding of Fellows and cooperating attorneys.</p> </li><li> <p>Ensure compliance with University, Federal, and State guidelines, rules, and regulations.</p> </li><li> <p>May perform other duties as assigned.</p> </li><li> <p>Occasional nights and weekends</p> </li></ul> <p>Required Skills and Abilities</p> <ol> <li> <p>Demonstrated ability to be extremely organized and multi-task under pressure.</p> </li><li> <p>Excellent oral, written and interpersonal communication skills.</p> </li><li> <p>Ability to understand and adhere to policies and procedures.</p> </li><li> <p>Ability to deal with all levels of stakeholders with diplomacy and tact.</p> </li><li> <p>Demonstrated proficiency with the Microsoft suite of programs, and ability to learn new systems.</p> </li></ol> <p>Preferred Skills and Abilities</p> <ol> <li> <p>Experience putting together events, meetings and other gatherings from inception to execution.</p> </li><li> <p>Experience making multiple types of travel arrangements for incoming visitors and for outbound travelers.</p> </li></ol> <p>Principal Responsibilities</p> <ol> <li>Oversees and coordinates program activities.
