Interested applicants must apply online by visiting the Denver Public Schools job board at careers.dpsk12.org.</p> <p>About this job:</p> <p>The College Administrative Assistant works with faculty and deans in to support instructional programs and works cohesively within the strategic direction, mission, and goals of the institution. The assistant manages department calendars, assists in meeting scheduling, takes advisory board meeting minutes, orders program supplies, conducts and organizes student evaluations, supports in tracking student placement, aiding dean budgetary data input, and other support functions as assigned. Additionally, the assistant supports the college team through academic cycles with administrative tasks year round in credit and non-credit programs. The College Administrative Assistant also ensures that reporting criteria are met for accreditation purposes and they support the deans and faculty in building schedules.</p> <p>The ideal candidate is professional, organized, and detail-oriented. They will communicate well both in writing and verbally, and can manage multiple and conflicting priorities under deadlines. Click here for more information on compensation for these roles. </li><li>In addition to competitive compensation, DPS has other Total Reward offerings such as; time off, health and wellness benefits, and PERA Retirement. </li></ul> <p>What You'll Do:</p> <ul> <li>Photocopying, ordering business cards, coordinating classroom and office supplies, coordinating and supporting faculty meetings and minutes, managing department calendars. </li><li>Work closely with other departments to support academic and personal advising, career services, facilities coordination. </li><li>Support faculty and deans with monitoring marketing materials, enrollment and classroom utilization. </li><li>Aid the Admissions and Coaching teams in the tracking, coordinating, and reporting on student information around: completion, placement, licensure, and responding to prospective student inquiries. </li><li>Assist in scheduling advisory committee meetings, taking and filing meeting minutes, ensuring employer verification forms are current and filed, sign-in sheets, and conducting regular audits of filed materials to ensure notes are current and shared appropriately. </li><li>Create and manage administrative workflow for cyclical academic calendar pre-, during, and post- course work. Schedule, document (meeting minutes), share and file department meetings. Coordinate and administer class and student surveys. </li><li>Independently respond to inquiries, complaints, and concerns from callers and visitors on behalf of the Dean, and research and provide information to the Dean regarding problems. </li><li>Work with faculty to ensure operation of instructional equipment by completing preventive maintenance requirements; calling for repairs; maintaining equipment inventories; evaluating new equipment and techniques at all campuses related to Hospitality, Services and Multimedia (HSM). </li><li>Work with the Director of Operations to communicate any facility issues related to HSM programs. </li><li>Support administration in the coordinating, tracking, and completing of schedule and course changes with all involved parties both internal and external including the Colorado Community College System (CCCS), the Council on Occupational Education (COE), and other programmatic accrediting agencies as applicable. </li><li>Work with Dean to develop and analyze operating practices and monitoring systems and spreadsheets to report budget items, enrollment numbers, grade tracking, licensure funds allocation etc. </li></ul> <p>What You'll Need:</p> <ul> <li>High School Diploma or equivalent is required. </li><li>Bachelor's Degree in Communications or similar preferred. </li><li>Three (3) or more years of office management experience. </li><li>Two to five (2-5) years experience in a higher education institution. </li><li>Knowledge with Google Suite and/or Microsoft Office products including Word, Excel and Outlook. </li><li>Effective time management and organizational skills. </li><li>Effective communication skills. </li><li>Strong attention to detail. </li><li>Effectively handle multiple demands and competing deadlines. </li><li>The ability to take responsibility for one's own performance. </li><li>Work collaboratively with others on a team. </li><li>Aptitude for variety and changing expectations and fast-paced environment. </li><li>Lead for racial and educational excellence and work to dismantle systems of oppression and inequity in our community, along with believing in and supporting all students so they feel seen and heard with access to high quality education. </li><li>Live and work with a permanent home address in Colorado while working with us. </li><li>Have the ability with or without accommodations to meet the physical demands of the position. </li></ul> <p>Denver Public Schools is an Equal Opportunity Employer and does not discriminate on the basis of race, color, religion, sex (including pregnancy, gender expression, and sexual orientation), parental status, national origin, age, disability, genetic information (including family medical history), political affiliation, military service, or any other status protected by law or regulations.
