Position Summary The Administrative Assistant position at Suburban Drywall supports our accounting & office teams by handling administrative tasks & responsibilities. This person will handle a mix of daily, biweekly, monthly, and annual responsibilities. This person will also be the primary driver of our subcontractor processes, including payables entries, certificates of insurance, new subcontractor onboarding, and annual renewals. Key Responsibilities Answer incoming phone calls and route appropriately. Daily distribution of payables invoices to approvers & matching/filing of approved invoices. Send outbound mail, including usage & restock of postage machine. Monitor office & kitchen supplies, placing restock orders when necessary. Prepare reports as needed for accounting & office teams. Be a backup user for plan printing and other administrative tasks as assigned. Handle the central inbox for subcontractor invoices for Waukesha office. Post approved subcontractor invoices to QuickBooks accounting system. Monitor renewal dates on subcontractor COIs & validate renewal documentation. Coordinate the annual renewal process of all subcontractors in Q4 of each year. Verify accuracy of data for any new subcontractor requests prior to onboarding & payments. Qualifications Associate's degree in Accounting or Administrative field desired. 1+ years of accounting or administrative experience desired, or 2+ years if non-degreed. Hands-on experience with Microsoft Suite, primarily Outlook, Excel, and Sharepoint beneficial. Strong computer skills required, 60+ WPM desired.
