<p>Triton Regional School District is seeking an Executive Assistant to the Superintendent of Schools. This individual provides high-level confidential administrative support to the Superintendent of Schools, with a strong emphasis on both internal and external communication. The Executive Assistant also supports the Triton Regional School Committee, including the drafting of minutes for committee and subcommittee meetings. POSITION DETAILS: This is a year round, full time position, and does require attendance at some evening meetings. REPORTS TO: Superintendent of Schools PERFORMANCE RESPONSIBILITIES:</p> <ul> <li>To implement the policies of the Triton Regional School District </li><li>To assist the Superintendent in the management of his schedule, and arrange and plan for meetings </li><li>To assist in the preparation of correspondence, reports, meeting agendas, and other materials as may be required </li><li>To develop agendas and supporting papers, and post meetings of the School Committee and its subcommittees in a timely fashion </li><li>To be the liaison and point of contact for the School Committee </li><li>To provide assistance to members of the School Committee in the discharge of their responsibilities </li><li>To organize and maintain the records and minutes of the School Committee, working in conjunction with the recording secretary </li><li>To gather such information as may be needed by the Superintendent in a timely manner </li><li>To maintain a filing system that provides for the convenient recovery of documents </li><li>To place, receive, and log messages for the Superintendent </li><li>To handle promptly incoming and outgoing correspondence and other documents, including a log of incoming mail </li><li>To assist in the drafting of district-wide communications </li><li>To assist in the hiring process, in concert with the Director of Finance and Operations and HR/Payroll Coordinator </li><li>To generate and process all personnel correspondence </li><li>To screen, welcome, and receive visitors </li><li>To assist with the development and maintenance of the district calendar </li><li>To ensure that all material leaving the Superintendent's office is error-free </li><li>To use initiative in identifying, reporting, and offering solutions to issues and problems that may be limiting the effectiveness of the district office as a whole </li><li>To attend School Committee meetings for the purpose of assisting the Superintendent in tracking requirements and actions resulting from the meetings in addition to minute taking </li><li>To undertake such other duties as may be required that fall within the general scope of the position's responsibilities </li></ul> <p>ATTRIBUTES:</p> <ul> <li>Committed to the core values of the district </li><li>Highly developed communication and interpersonal skills, both verbal and written </li><li>Ability to exercise mature judgment in potentially difficult conversations with a high degree of tact and diplomacy </li><li>A commitment to collaborative practice within a professional learning community </li><li>Ability to work independently and direct his/her own work, as well as work collaboratively </li><li>Ability to work with highly confidential information with utmost discretion </li><li>Ability to prepare complex correspondence and reports </li><li>Detail oriented </li><li>Ability to multitask </li><li>Self-starter, takes initiative and responsibility </li><li>Ability to gain, in a short period of time, extensive knowledge of school programs and policies, as well as those of our member towns </li></ul> <p>QUALIFICATIONS:</p> <ul> <li>A minimum of an Associate's Degree, Bachelor's Degree preferred </li><li>At least 5 years of equivalent work experience in office administration </li><li>Proficient and Efficient user of both Google Suite and Microsoft Office products </li></ul> <p>TERMS OF EMPLOYMENT:</p> <ul> <li>Annual Work Schedule: 260 Days Per Year </li><li>Vacation Schedule Per District Policy </li><li>Health and Benefits Per District Policies and Agreements </li><li>Salary to be negotiated with the Superintendent </li></ul> <p>EVALUATION: The performance of this job will be evaluated by the Superintendent in accordance with provisions of the School Committee's policy on Evaluation of Non-Instructional Support Services Personnel.</p>
