<p>The office coordinator job is a 40-hour support position that is responsible for preparing and initiating administrative office-related tasks associated with the day-to-day operations of Campus Safety and Emergency Management Services (CSEMS). The position works in an energetic, semi-public facing office and responsibilities include exceptional interpersonal and communication skills, good judgement, confidentiality, initiative, and ability to work independently or as a team. The office coordinator position handles multiple tasks and has the ability to prioritize numerous responsibilities to meet deadlines.</p> <p>Education and Experience</p> <ul> <li>Associate's degree and/or equivalent combination of education and experience, plus 2-3 years administrative support and general clerical experience. </li><li>Personal history background check and participation in random drug/alcohol testing required by department. </li><li>Experience working with diverse populations, in a college/academic setting preferred. </li></ul> <p>Skills and Knowledge</p> <ul> <li>Proficient with Microsoft and human resources/payroll related applications. </li><li>Experience with initiating and submitting web-based forms related to special work orders and/or purchase requests. </li><li>Ability to track and troubleshoot office technology maintenance issues and articulate subsequent repair needs to vendor(s). </li><li>Calendaring, online, remote meeting setup experience required. </li><li>Experience in higher education and/or not-for-profit business models a plus. </li></ul> <p>Responsibilities</p> <ul> <li>Prepares purchase requisitions and initiates inter-departmental journal entries. </li><li>Scans and organizes administrative files to an electronic filing system. </li><li>Assists with employee travel and expense processing as directed. </li><li>Assists with generating general ledger reports. </li><li>Coordinates maintenance for office technology (i.e. machines such as biz hubs, printers, phones, etc.) </li><li>Monitors supply inventories and purchase requests; coordinates approved orders. </li><li>Distributes receivables as needed. </li><li>Assists with coordinating internal department events and community-based programs. </li><li>Assists with coordinating meetings and/or travel as directed. </li><li>Assists with placing building maintenance requests. </li><li>Other duties as assigned. </li></ul> <p>Physical Requirements</p> <p>Not Applicable</p> <p>Tools/Equipment</p> <p>Not Applicable</p> <p>Application Instructions</p> <p>In addition to completing an online application, please attach a resume and cover letter.</p>
