Responsibilities The Business Office & Facility Life Safety Coordinator is responsible for overseeing administrative, billing, scheduling, and compliance operations within the facility, while also leading the implementation and monitoring of the Environment of Care (EOC) and Safety Plan. This role ensures efficient business office workflows, accurate financial processes, and a safe, compliant environment for patients, staff, and visitors. Key Responsibilities: Business Office Operations The Business Office Coordinator supports the Business Office Manager in overseeing daily administrative, billing, and scheduling operations within the ambulatory surgery center. This role ensures smooth workflow, accurate financial processes, and effective communication between departments, physicians, and external partners. Sort and process incoming billing mail, including checks, EOBs, and correspondence, and post patient and payer payments received via mail to ensure accurate daily deposits. Collaborate with the Central Billing Office (CBO) on payer audits, case denials, and AR escalations. Support AR processes by ensuring timely and accurate follow-up with insurance companies and third-party payers. Serve as a liaison with physicians and their office staff. Promote a professional and positive image of the facility. Uphold patient privacy and support the organization's compliance initiatives. Environment of Care & Safety Coordination The Building Life Safety Officer is responsible for ensuring that all aspects of facility safety and regulatory compliance are proactively managed and maintained. This role oversees the scheduling, execution, and documentation of inspections, maintenance, and safety protocols in accordance with state, federal, and Joint Commission guidelines. The officer serves as a key liaison between the facility and regulatory bodies, promoting a safe and compliant environment for patients, staff, and visitors. Lead the implementation, monitoring, and evaluation of the EOC and Safety Plan in collaboration with facility leadership. Conduct hazard vulnerability assessments and identify high-risk areas affecting patients, staff, and visitors. Prepare and submit quarterly reports to the Quality Council, Medical Executive Committee, and Administration, including: Hazardous findings and safety issues Emergency and disaster drill outcomes Regulatory updates and compliance actions Equipment and utility performance Safety and security incidents Recommendations and action plans Develop and deliver annual safety education covering: Workplace and environmental safety Life safety and fire safety Security and emergency management Hazardous waste and utilities management Equipment safety and OSHA compliance Create and maintain compliance checklists aligned with accreditation standards and Life Safety Codes. Support performance improvement initiatives based on safety trends and incident reporting.
