Discover your opportunities at Yale!</p> <p>Salary Range</p> <p>$43,700.00 - $82,400.00</p> <p>Overview Under the direction of the Department of Neurology Chair and reporting to the Manager of Academic and Administrative Affairs, this position will serve as a senior aide with responsibility for managing the flow of people and information through the Chair's office and representing the Chair's interests through contact with other Yale offices, Yale-New Haven Hospital offices, other institutions, YSM department chairs, faculty, staff, students, alumni, dignitaries and visitors from other countries and corporations. The position is also responsible for generating and managing communications on behalf of the Chair to the Department, University, and Public; with the Communications Director, monitors and assists with social media messages allowing the department to connect, build the brand, share information, and build relationships. Provides a high level of administrative support and oversees and coordinates program activities as directed, including the ability to design and implement policies, procedures, and systems to enhance office production and efficiency which includes tracking systems for workflow. Supervises two or more assigned administrative support staff and oversees workflows related to the Chair's office activities.<em>This is a hybrid position working a minimum of three days on campus. Candidates must be flexible to work more days on campus as needed.</em> Required Skills and Abilities 1. Highly developed oral and written communication. Proven ability to synthesize complex ideas and translate into language that is accessible for all audiences. Ability to craft messages from the Chair. 2. Superior interpersonal skills. Proven ability to represent the Department well while working collegially with peers and colleagues within and outside the University. Ability to deal with complex issues, crises, and sensitive situations with discretion and proven problem-solving skills. 3. Excellent computer skills: proficient using MS Word, Excel, PowerPoint. Ability to assist with the design of promotional and informational materials. 4. Possess sound independent judgment, intuition, and common sense with excellent attention to detail and the ability to prioritize and handle a complex portfolio of work in an intensive multi-tasking environment. Proven ability handling confidential matters. 5. Demonstrated ability to provide a high level of administrative support and oversee and coordinate program activities, including ability to design and implement policies, procedures, and systems to enhance office production and efficiency, including tracking systems for workflow. Preferred Education, Experience and Skills Bachelor's Degree and experience working in an academic or comparable executive setting with 2-3 years of administrative professional writing experience and familiarity with technical and medical writing.</p> <p>Principal Responsibilities</p> <ol> <li>Supervises staff members in the day to day operations of an academic department, including the Chair's Office. Ensures that the department will have unified staff procedures, back-up staffing when needed, and overall group support. 2. Designs and implements efficient, time-saving administrative procedures. Prioritizes projects and assigns staff to complete tasks. Ensures that work flow is organized and staffed for quality efficient completion. 3. Interviews, hires, counsels and trains staff. Establishes work standards and expectations and evaluates staff performance. Assesses and resolves or escalates problems arising within unit. 4. Interacts with departmental and University staff to define work assignments, communicate progress of work, and plan and coordinate projects. 5. Interacts with external sources to coordinate work necessary to fulfill projects and keep abreast of new products and technologies. 6. May perform other duties as assigned. Required Education and Experience Bachelor degree and two years of relevant work experience in an academic or research environment or an equivalent combination of experience and education. </li></ol> <p>Background Check Requirements</p> <p>All candidates for employment will be subject to pre-employment background screening for this position, which may include motor vehicle, DOT certification, drug testing and credit checks based on the position description and job requirements.
