<p>Accounting Assistant</p> <p>Coe College seeks qualified candidates for the position of Accounting Assistant. This position provides excellent customer service in person, over the telephone and in writing. Responsible for all cash receipts and deposits using the college's computer system. Assist and provide backup for Student Accounts Manager and general accounting support for the office.</p> <p>Essential Job Responsibilities:</p> <ul> <li>Respond to inquiries regarding student accounts and account balances in person, on the phone and in writing, in an efficient and timely manner. </li><li>Receipt over the counter transactions, other department's receipts (such as gifts, Alumni House charges, etc.) and mail receipts, as necessary. </li><li>Maintain cash drawer, order currency from banks, and be responsible for the end of day balance and reconciliation. </li><li>Prepare and reconcile all petty cash and cash advance requests. </li><li>Record and reconcile deposits through the online payment system. </li><li>Reconcile travel advance general ledger account monthly. </li><li>Assist with oversight of online payment system for student payments and other credit card payments. </li><li>Post regular monthly batch charges such as library fines, copies, prints, mail room and physical plant charges. </li><li>Distribute office mail and prepare outgoing mail for pick up. </li><li>Record outside scholarships received for student accounts. </li><li>Set up new vendors in the accounts payable system. </li><li>Clear checks and assist the Staff Accountant with the bank reconciliation process. </li><li>Assist the Student Accounts Manager with loan processes. </li><li>Provide support in all other areas of the Business Office including clerical and accounting functions, as needed. </li><li>Open and close front desk. </li><li>Serve as accounting liaison with student organizations. </li><li>Develop and maintain current standard operating procedures (SOPs) for all essential job responsibilities of the Accounting Assistant position. </li><li>Other duties as assigned. </li></ul> <p>Qualifications:</p> <ul> <li>Associate Degree or equivalent minimum of three years of recent related accounting work experience. </li><li>Personal computer experience in word processing, spreadsheets and database programs. </li><li>Work additional hours, as needed. </li><li>Must be currently authorized to work in the United States as visa sponsorship is not available for this position. Applicants must be authorized to work for ANY employer in the United States as we are unable to sponsor or take over sponsorship of an employment Visa at this time. </li><li>Successful completion of a background check in accordance with Coe College policy. </li></ul> <p>Knowledge, Skills and Competencies:</p> <p>Position Specific:</p> <ul> <li>Knowledge of general accounting and common office policies, practices and standard equipment. </li><li>Personal computer experience in word processing, spreadsheets and database programs as well as data entry skills. </li><li>Interact ethically, professionally and confidentially with diverse groups, faculty, staff and students to develop a deep sense of trust. </li><li>Demonstrate commitment to excellent customer service including the ability to effectively communicate, both orally and in writing. </li><li>Prepare and maintain records, reports and other documents with an attention to detail and accuracy using a personal computer and data entry skills. </li><li>Knowledge of the operations, functions, and scope of authority of a college setting or similar environment as related to the handling and disposition of complaints, requests for information, and delegated administrative details. </li><li>Ability to organize, manage and prioritize multiple responsibilities, deadlines, tasks and projects while dealing with interruptions and an uneven workload. </li><li>Ability to maintain positive relationships in a collaborative and diverse team atmosphere </li><li>Commitment to excellent customer and/or student service. </li><li>Demonstrate ethical and responsible decision making. </li><li>Ability to maintain consistent attendance and accountability for position objectives </li></ul> <p>Coe Competencies:</p> <ul> <li>Dedication to the educational mission of a private, residential liberal arts college. </li><li>Ability to maintain positive relationships in a collaborative and diverse team atmosphere. </li><li>Commitment to excellent customer and/or student service. </li><li>Demonstrate ethical and responsible decision making. </li><li>Consistent attendance and accountability necessary to meet position objectives. </li></ul> <p>Working Conditions and Physical Requirements:</p> <ul> <li>Must be able to stand or sit for extended periods of time while waiting on students, faculty and staff. </li><li>Ability to lift up to 20 pounds and raise arms to distribute mail and interact at front desk. </li></ul> <p>Coe College is an equal opportunity employer.</p>
