Discover your opportunities at Yale!</p> <p>Overview</p> <p>This position provides operational leadership for faculty affairs and academic appointments for the Integrated Business Operations (IBO) that serves the Child Study Center, the Department of Pediatrics, and the Department of Psychiatry. This position independently manages complex academic processes for non-ladder faculty members, voluntary faculty members, Master's Level Clinicians, and other academic personnel. This position requires independent judgment in handling sensitive, complex academic matters and provides expert-level guidance to the IBO. This position leads committees and meets directly with leadership as required. This position oversees the work of staff members.</p> <p>Responsibilities include, but are not limited to, the following. Manages the academic support needs for non-ladder faculty members, voluntary faculty members, and Master Level Clinicians across the IBO by providing recommendations, improvements, solutions, and assistance as needed. Plans and oversees each step of the faculty appointments & promotions lifecycle for non-ladder</p> <p>faculty, voluntary faculty, and other academic personnel in three departments.</p> <p>Leads academic appointee Department Committees and provides expert advice and information on policies and procedures while offering creative opportunities for change, moving the department forward with important initiatives that align with those of Yale School of Medicine and the University. Develops, implements, and maintains internal documents and records related to non-ladder faculty appointments, voluntary faculty appointments, and Master's Level Clinicians to ensure compliance with departmental, YSM, and University requirements.</p> <p>Reviews processes for efficiency and optimization pertaining to internal record keeping and new appointment and reappointment review processes.</p> <p>Leads communications with prospective candidates and current non-ladder faculty members regarding the status of pending appointment requests, reappointment, and promotion applications, policies, and processes. Monitors external and internal factors that impact non-ladder faculty across three departments and addresses challenges accordingly. Is a key source of information regarding changes to IBO policies and procedures. Works closely with both the research and the clinical finance teams across the IBO to confirm funding for non-ladder faculty positions. Partners with key University stakeholders such as the Office of Academic and Professional Development and the Office of Curriculum to provide ongoing guidance and feedback regarding the appointments & promotions process. Takes the lead on processes related to faculty child-rearing and medical leaves. Produces timelines for annual processes. Works to streamline the leave process across the IBO. Leads the process of faculty academic leaves across the IBO in collaboration with the Chairs of the IBO and the Committees representing each department. Takes part in cross-training initiatives to ensure continuity of services across the IBO. In collaboration with OAPD, is a main source of information regarding faculty retirement, including Emeritus, phased retirement, and full retirement. Processes reports and analyzes data as it pertains to academic appointments. This position is hybrid and requires on-site work 2-3 days a week.</p> <p>Required Skills and Abilities</p> <ol> <li> <p>Organizational & Workflow Management: Ability to manage high volumes of complex academic appointments, documentation, and deadlines with exceptional accuracy, prioritization, and attention to detail.</p> </li><li> <p>Interpersonal Skills: Superior interpersonal skills and the ability to interact with faculty, staff, students, and administrators at all levels in a highly professional manner.</p> </li><li> <p>Stakeholder Communication & Relationship Management: Exceptional interpersonal and communication skills to effectively support faculty, research staff, senior staff, and Department Chairs, and to collaborate across multiple departments.</p> </li><li> <p>High-Level Multitasking & Deadline Management. Ability to simultaneously oversee multiple appointment cycles, staff supervision, reporting requirements, and departmental coordination while meeting strict timelines and maintaining service quality.</p> </li><li> <p>Presenting: Ability to give presentations to faculty and staff regarding department policies and procedures, as well as demonstrated ability to create and organize the materials for presentations.</p> </li></ol> <p>Principal Responsibilities</p> <ol> <li>Performs a variety of activities related to managing the daily operations of a unit including human resources planning, information technology, financial reporting, facility planning, research support, and compliance among other functions for a unit. 2. Administers the administrative and fiscal activities of the assigned unit; serves as liaison between the assigned unit and other University administrative offices. 3. Assigns administrative support to various functions of the unit; monitors activities of staff to ensure timely completion of assigned work. 4. Prepares and monitors budgets, financial forecasts, and financial analyses and the actual vs. budgeted performance. 5. Plans the use of facilities in the assigned department including office space, work stations, equipment, technology needs, inventory, and office supplies. 6. Plans and facilitates training sessions for the department when new policies or practices are adopted. 7. Ensures compliance with University and federal health and safety regulations as they apply to the unit. 8. Initiates, plans and develops administrative policies for the assigned unit. 9. Contributes to long-range administrative planning for the assigned unit. 10. Implements University and departmental policies as they pertain to the administrative function of the unit. 11. Supervises and leads staff. 12.
