This is a 100% in-person position, in charge of welcoming visitors into the office.</p> <p>Essential Functions</p> <ul> <li>Greet visitors, answer incoming calls, and help students, scholars, and other ISSS visitors in a courteous, friendly, and timely manner. Providing professional, helpful, and high-quality customer service is the essential duty of this position. </li><li>Oversee pick-up and shipping services of sensitive immigration materials and other office documents. </li><li>Oversee the organization of front desk filing system. Prints and generates documents for pick-up and shipment as needed. </li><li>Oversee the ISSS email account and resolve and/or triage emails as appropriate effectively and promptly. </li><li>Serve as a Designated School Official (DSO) for the F-1 student program and an Alternate Responsible Officer (ARO) for the J-1 Exchange Visitor Program. </li><li>Use SEVIS (Student and Exchange Visitor Information System) and Ellucian ISSM (International Student and Scholar Management) to issue I-20s and DS-2019s. </li><li>Answer procedural questions and respond to basic immigration requests (e.g., travel signatures, I-20 reprints). </li><li>Use templates to issue letters for students and scholars, when requested by professional staff members. </li><li>Act as assistant to the Executive Director (maintaining calendars, schedule meetings, etc.) and assist with special projects. </li><li>Maintain professional staff calendars, schedule appointments, and schedule meetings. </li><li>Provide administrative support to the professional staff such as correspondence, reports, filing, database maintenance, maintaining accurate office records, preparing check requests, purchase orders, and other related administrative tasks. </li><li>Manage intake, case tracking, and initial review for certain student/scholar applications, ensuring accurate documentation and timely follow-up throughout the process. </li><li>Support the development and delivery of ISSS new student and scholar orientations and other programs. </li><li>Maintain equipment and order supplies for the office. </li><li>Maintain a neat and professional work environment. </li><li>Hire, onboard, and oversee student workers. </li><li>Serve as a valuable member of the ISSS team and support the office in the development and implementation of ISSS strategy and operations with the goal of continued enhancement of service delivery. </li><li>Perform other duties to support strategic plans for welcoming and supporting Drexel's international students and scholars. </li><li>Regularly explore and participate in HR professional development opportunities relevant to the job duties and the ISSS mission of welcoming and supporting international students and scholars. </li></ul> <p>Required Qualifications</p> <ul> <li>Minimum of a HS Diploma/GED or the equivalent combination of education and work experience. (Please review the Equivalency Chart for additional information.) </li><li>Minimum of 3 years of experience working in an administrative/clerical role. </li><li>Willingness to work and interact with people of various groups of people and varying levels of English language proficiency. </li><li>Excellent multi-tasking, attention to detail, and organizational skills. </li><li>Ability to work in a fast-paced office environment. </li><li>Ability to be a team player, customer service driven, possess a strong work ethic, and understand the importance of confidentiality. </li><li>Excellent communication (both verbal and written), interpersonal, analytical thinking, data analysis skills. </li><li>Proficiency with computer software applications (Microsoft Office Suite and database management). </li><li>Demonstrated ability to learn new databases. </li><li>Per the U.S. Department of Homeland Security and U.S. Department of State, must be a U.S. citizen or lawful permanent resident to serve as DSO and ARO. </li><li>Must successfully pass a criminal background check every four years to serve as an ARO, per U.S. Department of State regulations. </li></ul> <p>Preferred Qualifications</p> <ul> <li>Bachelor's Degree. </li><li>1 year of experience working with students in a college/university setting. </li><li>Knowledge of Federal Education Rights and Privacy Act (FERPA) implications on advising. </li><li>Working knowledge of Student & Exchange Visitor Information System (SEVIS) and Ellucian International Student and Scholar Management (ISSM). </li><li>Working knowledge of Banner, Hyperion, Nolij, Advisor Visitor Tracking (AVT). </li></ul> <p>Location</p> <ul> <li>University City - Philadelphia, PA </li></ul> <p>Additional Information</p> <p>This position is classified as Non-Exempt, grade H. Compensation for this grade ranges from 17.14 - $25.71 per hour.
