<p>Institutional Advancement Coordinator</p> <p>I. IDENTIFYING INFORMATION</p> <p>Position Title: Institutional Advancement Coordinator</p> <p>Location: St. Bartholomew School</p> <p>Status: Full Time to begin after December 19, 2025</p> <p>FLSA: Non-Exempt/ Hourly- Pay Commensurate with experience</p> <p>Reports to: Charity Campbell</p> <p>II. PRIMARY FUNCTIONS</p> <p>An Institutional Advancement Coordinator is responsible for managing marketing and communications</p> <p>for St. Bartholomew School, as well as student enrollment and retention, building relationships with the</p> <p>community and alumni, and event planning to support institutional goals.</p> <p>III. POSITION CONTENT</p> <p>A. ESSENTIAL FUNCTIONS</p> <ol> <li>Student Retention and Recruitment: Developing and implementing strategies to attract new </li></ol> <p>students. Working to keep current students enrolled and engaged.</p> <ol start="2"> <li>Enrollment Process: Being the first point of contact for enrollment to the school, giving tours to </li></ol> <p>prospective families, and seeing the process all the way through until enrollment is complete</p> <p>(including the collection of necessary documentation from families)</p> <ol start="3"> <li>Communication and Marketing: Developing and implementing communication strategies to </li></ol> <p>promote the institution and its advancement initiatives. This includes utilizing various social</p> <p>media platforms, creating and publishing a weekly school newsletter</p> <ol start="4"> <li>Public Relations: Managing relationships with the media and the public- including reaching out </li></ol> <p>to newspapers, radio stations, etc. to communicate events at St. Bartholomew School</p> <ol start="5"> <li>Events and Outreach: Organizing campus visits, open houses, and other events to reach </li></ol> <p>potential students. For example- Festival of Lights Parade, Festival Latina, Bartholomew County</p> <p>Fair, etc.</p> <ol start="6"> <li>Choice Scholarship Management: Gathering appropriate information from families and staying </li></ol> <p>up to date on CHOICE scholarship changes.</p> <ol start="7"> <li>FACTS Account Management: Managing family accounts related to tuition, athletic, and other </li></ol> <p>payments, including communicating past due balances</p> <ol start="8"> <li> <p>Data Analysis: Tracking enrollment trends and using data to inform decisions.</p> </li><li> <p>Fundraising: Securing financial support from donors for SGO scholarships and our Tuition</p> </li></ol> <p>Assistance Fund</p> <ol start="10"> <li> <p>Strategic Planning: Contributing to the development of the institution's overall strategic plan.</p> </li><li> <p>Compliance: Ensuring compliance with relevant policies and regulations.</p> </li><li> <p>Other duties as necessary to ensure efficient functioning of the school/ parish</p> </li></ol> <p>IV. POSITION SPECIFICATIONS/REQUIREMENTS</p> <p>A. SKILLS, KNOWLEDGE, AND/OR ABILITIES</p> <ol> <li> <p>Exceptional Interpersonal Skills</p> </li><li> <p>Good organization and planning skills</p> </li><li> <p>Flexibility</p> </li><li> <p>Ability to organize and manage workload to meet deadlines</p> </li><li> <p>Ability to engage positively with staff, parents, and students and to maintain the highest level of</p> </li></ol> <p>confidentiality</p> <ol start="6"> <li> <p>Self-motivated. Ability to work with minimal supervision</p> </li><li> <p>Ability to organize and manage workload to meet deadlines</p> </li><li> <p>Ability to handle multiple social media accounts</p> </li><li> <p>Willingness to foster and contribute positively to the school and Church's mission</p> </li></ol> <p>B. EDUCATION, TRAINING, AND/OR EXPERIENCE</p> <ol> <li> <p>Bachelor's Degree in Marketing/Business/Finance or other related field preferred</p> </li><li> <p>Experience in marketing and community relations preferred</p> </li><li> <p>Must be able to understand and to comply with the Archdiocese of Indianapolis Code of Conduct</p> </li><li> <p>Must be able to successfully complete the Archdiocese of Indianapolis Safe Parish Training</p> </li><li> <p>Background screening required</p> </li><li> <p>Valid driver's license required</p> </li></ol> <p>V. WORKING ENVIRONMENT</p> <ol> <li> <p>Environment- office setting</p> </li><li> <p>Exposure to outside and light lifting at times</p> </li><li> <p>Must be able to read and edit spreadsheets, email and other related tools related to the role</p> </li><li> <p>Requires extensive use of keyboards and other administrative equipment</p> </li><li> <p>Must be able to communicate extensively and effectively with staff, parents, and students via</p> </li></ol> <p>telephone, one-on-one conversations, face-to-face, public presentations, and written</p> <p>correspondence</p> <ol start="6"> <li> <p>Must be able to sit or stand for extensive periods of time and navigate through the office and school</p> </li><li> <p>Occasional Weekends and/or evenings</p> </li><li> <p>Must be able to function within a moderate noise level office environment</p> </li></ol>
