<p>Description and Functions</p> <p>GENERAL DESCRIPTION:</p> <p>The Department of Workforce Services and the Division of Workers' Compensation's objective is to provide a continuum of services to our customers that includes re-employment. This position is crucial in supporting the return-to-work goal. This position builds the foundation for providing excellent customer service and building positive relationships through our front desk contacts.</p> <p>Human Resources Contact: kelly.gayer@wyo.gov</p> <p>ESSENTIAL FUNCTIONS: The listed functions are illustrative only and are not intended to describe every function that may be performed at the job level.</p> <ul> <li>Performs first-line customer service, including greeting walk-ins, answering phones, answering inquiries, or directing to the appropriate staff member. </li><li>Performs various functions for staff and administration. </li><li>Explains Division policy, procedures, and practices regarding general non-case-specific requests for information. </li><li>Directs customers to appropriate claims analysts for case-specific information. </li><li>Monitors and maintains fax machine/copier, and office printer. </li><li>Distributes printed material appropriately. </li><li>Performs troubleshooting and determines the need for professional technical assistance. </li><li>Receives, date stamps, and distributes incoming correspondence from walk-in customers, FedEx, and UPS, signing for documents as necessary. </li><li>Processes outgoing correspondence for mail or FedEx. </li><li>Responsible for the disposal of confidential printed information. </li><li>Researches and retrieves information from case files using the computer PowerSuite and imaging systems. </li><li>Schedules medical appointments and prepares medical documentation for inclusion with the appointment. </li><li>Responsible for file reproduction for the appellate process and research, resolves, and responds to record requests from other entities. </li></ul> <p>Qualifications</p> <p>PREFERENCES:</p> <p>Preference may be given to those with Customer Service experience. Microsoft and Google product experience preferred.</p> <p>Preference may be given to those with multi-line phone experience.</p> <p>KNOWLEDGE:</p> <ul> <li>Knowledge of applicable federal, state, and local laws, codes, regulations and policies, technical processes, and procedures related to the Division of Workers' Compensation. </li><li>Knowledge of techniques for providing a high level of customer service. </li></ul> <p>MINIMUM QUALIFICATIONS:</p> <p>Education:</p> <p>Associate's Degree (typically in Business)</p> <p>Experience:</p> <p>0-1 year of progressive work experience (typically in Business Office Communications) with acquired knowledge at the level of an Office Assistant II</p> <p>OR</p> <p>Education & ExperienceSubstitution:</p> <p>2-4 years of progressive work experience (typically in Business Office Communications) with acquired knowledge at the level of an Office Assistant II</p> <p>Certificates, Licenses, Registrations:</p> <p>None</p> <p>Necessary Special Requirements</p> <p>PHYSICAL WORKING CONDITIONS:</p> <ul> <li>Typically, the employee may sit comfortably to perform the work; however, there may be some walking, standing, bending, carrying light items, driving an automobile, etc. </li><li>Special physical demands are not required to perform the work. </li></ul> <p>NOTES:</p> <ul> <li>FLSA: Non-Exempt </li><li>The offer of employment is contingent on the completion of a successful background check. </li><li>The Wyoming Department of Workforce Services (DWS) uses E-Verify, an Internet-based system, to confirm the eligibility of all newly hired employees to work in the United States.
