<p>Position SummaryWorks under the supervision of the Deputy Director in a lead capacity to coordinate activities within the various Clinical Health programs and provides administrative support to the department with high level of confidentiality and timeliness.Pay Grade: 48Salary Commensurate with Experience and Education Minimum Qualifications1. Three (3) years of administrative or executive assistant support; AND2. Bachelor's degree from an accredited college or university in business, management, health, or public administration, or closely related field; OR3. An equivalent combination of related education and/or experience.4. PROOF OF EDUCATION, TRAINING, AND/OR EXPERIENCE IS REQUIRED.</p> <p>Duties and Responsibilities1. Provides high-level administrative support to the Deputy Director in preparation for meetings and appointments.2. Provides administrative support to the managers within Clinical Health.3. Prepares and assists with travel arrangements and reimbursements.4. Maintains comprehensive and confidential records and ensures division compliance with policies, and procedures regarding maintenance of records.5. Assists with research and response to incoming questions, issues, and concerns. 6. Assists in the preparation of the budget.7. Obtains data from various sources to prepare and compile standard reports.8. Serves as internal and external division liaison to governmental agencies, community organizations and representatives, businesses, and service agencies.9. Plans, develops, and implements a variety of information for programs or materials to facilitate communication to residents, city and county employees, and the public regarding the Clinical Health Bureau.10. Assists in coordination and implementation of events, campaigns, and customer/public outreach.11. Assists in coordinating all internal and external meetings.12. Prepares monthly billing reports from service providers.13. Prepares invoices and other accounts payable documents for approval.14. Performs other related duties as required or directed.</p> <p>KSAs1. Knowledge of administrative practices and techniques.2. Knowledge of Clinical Health guidelines, policies, procedures, and grant deliverables.3. Excellent written and verbal communication skills, effective interpersonal skills, and multi-tasking ability.4. Ability to maintain confidentiality pertaining to clients, program, and sensitive matters.5. Ability to deal courteously with co-workers, other divisions/offices, and the public.6. Skilled at managing multiple assignments, meeting deadlines, and prioritizing.7. Proficient knowledge in Microsoft Office (Word, Excel, PowerPoint, and Outlook) and County software applications.</p> <p>Special Requirements1. May be required to travel to other Shelby County offices.2.
