<p>Job Responsibilities</p> <p>The South Carolina Department on Aging is seeking a Program Assistant to join their team! The position serves as the first point of contact for the agency and is responsible for greeting visitors, managing incoming calls, maintaining visitor logs, and providing general information and administrative support. This role upholds a high standard of professionalism, confidentiality, and customer service while ensuring smooth front desk operations.</p> <p>I. Front Office Administrator</p> <p>The receptionist serves as the first point of contact for visitors and callers, creating a welcoming and professional environment. Responsibilities include greeting guests, directing them appropriately, providing information, and maintaining the front lobby. The role also involves managing a multi-line phone system, documenting calls in the SC Act system, and offering general administrative support such as preparing signage and announcements.</p> <p>II . Parking Validation Support</p> <p>Responsible for assisting visitors with parking validation by verifying eligibility, issuing validation tickets or codes, and maintaining accurate records. Works closely with parking personnel to resolve issues such as lost tickets or machine errors. Monitors and restocks validation supplies, responds to inquiries, and escalates concerns as needed. Ensures compliance through regular audits and provides feedback to improve the process and customer experience.</p> <p>III. Maintain Informational Books, Manuals, and Agency Fleet Vehicle Notebooks</p> <p>Responsible for maintaining accurate, organized, and up-to-date reference materials to support front desk operations and enhance visitor experiences. Duties include updating directories, manuals, and reception binders; preparing and displaying brochures and visitor guides; and managing vehicle notebooks to ensure complete and current travel documentation. Ensures compliance with confidentiality standards and proper version control for all materials.</p> <p>IV, Visitor Log Management</p> <p>The Visitor Log Coordinator manages and maintains accurate records of all guests, contractors, and vendors entering the building to support security and compliance. Key responsibilities include logging visitor details, issuing badges, notifying staff of arrivals, and coordinating with security on any concerns. The role also involves compiling visitor data for reports and handling logbook archiving in accordance with retention policies.</p> <p>Minimum and Additional Requirements</p> <p>A high school diploma and relevant program experience.
