This is a professional and highly responsible position that provides docket management, case management, and administrative support for the Magistrate, Senior Judge's, and the Administrative Services Manager's Office in Hendry and Glades County Courts. This position uses differentiated case management techniques to track cases from filing to resolution. The Court Program Specialist II Position maintains the court calendar and creates daily dockets. This position is also responsible for researching and preparing legal documents such as court orders, summary judgments, notices of hearing, case management orders, and other such correspondences as needed for the Magistrates and Senior Judges. The Hendry and Glades County Courts have a high percentage of Pro Se litigants; this position provides support to these litigants by providing information, guidance, and resources on a case by case basis. The responsibilities of this position will require an individual that is highly organized, with excellent customer service skills, and able to make quick decision with minimal supervision.</p> <p>Primary responsibilities of a Court Program Specialist II include the following: (1) Docket Management, (2) Case Management (3) Administrative Support (4) Case</p> <p>Research and Statistics</p> <p>Examples of Duties</p> <p>ESSENTIAL DUTIES AND RESPONSIBILITIES: The following duties are normal for this position. The omission of specific statements of the duties does not exclude them from the classification if the work is similar, related, or a logical assignment for this classification.</p> <p>Docket Management:</p> <p>Maintain Court Calendars for Magistrates and Senior Judge's Offices</p> <p>Coordinate hearings with Attorneys and Pro Se litigants</p> <p>Provide customer service, guidance, and information to Pro Se Litigants</p> <p>Create, review, and verify dockets for Senior Judges and Magistrates</p> <p>Conduct court docket case reviews for Case Management Conferences, Pretrial Conferences, Motions, Trials, and Summary Judgment and prepare files for each proceeding</p> <p>Attend Court Hearings, takes notes, and composes necessary documents and/or orders based on rulings.</p> <p>Establish court processes and deadlines utilizing differentiated case management techniques to ensure cases stay on track</p> <p>Coordinate with Clerk's Office, bailiffs, jail staff, and court security of upcoming events to ensure in-custody defendants are transported for court.</p> <p>Serve as the liaison between the Department of Revenue and the Courts on Child Support cases.</p> <p>Case Management:</p> <p>Review court files and screen cases to identify companion cases and determine appropriate case paths</p> <p>Assist Petitioners, Respondents, and Attorneys on all inquiries</p> <p>Review files for accuracy and notify litigants of missing documents</p> <p>Monitor compliance with court orders and bring cases before the court that are not in compliance</p> <p>Attend court hearings and advise the Judge of case information and future court dates</p> <p>Maintain active case list and track events until case has reached a resolution</p> <p>Administrative Support:</p> <p>Research substantive and procedural issues updating policies and case procedures based on new legislation, rules and other mandates</p> <p>Perform clerical support tasks, such as drafting orders, final judgments, notices, and all correspondences</p> <p>Provide information to other agencies as needed; coordinate services with court and other agencies, such as referrals to the Mediation Office.</p> <p>Prepare Orders, documents, forms, and correspondences for the Judiciary.</p> <p>Case Research and Statistics</p> <p>Query multiple databases</p> <p>Identifies events and trends negatively impacting upon the timely progress of cases, and provides reports to the court and court administration</p> <p>Analyze caseload data and prepare monthly and yearly statistical reports</p> <p>Monitor pending caseload, track case events from filing to disposition. Ensure that cases are handled proactively to prevent backlog of cases</p> <p>Maintain active case list and track events until case has reached a resolution</p> <p>Review and compile information for Judges on pertinent issues and provide case status reports at hearings</p> <p>Other Duties Assigned:</p> <p>Attend meetings, training, and educational seminars as required</p> <p>Must be willing to cover other shifts and assignments as required</p> <p>Any other activities deemed appropriate by the Administrative Services Manager.</p> <p>Travel throughout the Circuit as assigned</p> <p>SUPERVISORY RESPONSIBILITIES</p> <p>None</p> <p>Education and Training Guidelines</p> <p>Bachelor's degree in public or business administration, criminal justice, psychology, sociology, pre-law or a closely related field. Additional relevant experience may substitute for the recommended educational level on a year-for-year basis.</p> <p>Two years of civil law experience preferred. Additional relevant education may substitute for the recommended experience on a year-for-year basis, excluding supervisory experience.</p> <p>Progressively responsible experience in program implementation or evaluation may substitute for the recommended college education on a year-for-year basis.</p> <p>QUALIFICATIONS</p> <p>To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. Ability to write reports, business correspondence, and procedure manuals. Ability to effectively present information and respond to questions from groups of managers, clients, customers, and the general public.</p> <p>MATHEMATICAL SKILLS</p> <p>Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, percentages, and decimals.</p> <p>REASONING ABILITY</p> <p>Must be able to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations. Must be able to evaluate problems, isolate key issues, research and develop alternative solutions and to present management with recommendations that include, at a minimum, the advantages, the disadvantages, and the cost and staff impact of recommendations.</p> <p>PHYSICAL DEMANDS</p> <p>While performing the duties of this position you are regularly required to stand, walk, talk, hear, frequently required to feel, reach with hands and arms, taste, or smell, occasionally required to sit, climb or balance and stoop, kneel, crouch, or crawl, must frequently lift and/or move up to 25 pounds.
