<p>This position provides high level professional administrative support to the Associate Provost for Strategic Initiatives for Academic Affairs and to the Associate VP of Academic Operations. In addition to daily management of schedules, high-level communications, scheduling events and travel, this position will be responsible for administrative support and oversight of various projects and initiatives across the university and the Syracuse community that require a level of professionalism, communication, organizational skills, attention to detail, and the ability to handle sensitive information with discretion. This position will provide support to advance academic affairs initiatives within the areas of shared governance, community relations, arts and humanities administration. Additionally, this position will support internationalization efforts in coordination with Syracuse Abroad and global institutions as well as Study Away centers. Budget and operations support of the Associate VP for Academic Operations will require collaboration across all areas of the academic core of the University with discretion to handle sensitive financial information.</p> <p>Education and Experience</p> <ul> <li>Bachelor's degree or equivalent combination of education and experience. </li><li>A minimum of 3 years' experience with administrative support or office management. </li><li>International experience and financial/operational experience preferred. </li></ul> <p>Skills and Knowledge</p> <ul> <li>Expert verbal and written communication skills. </li><li>Demonstrated ability to handle sensitive and confidential information professionally. </li><li>Strong organizational and multitasking abilities, with attention to detail and deadlines independently. </li><li>Expert level problem solving, research, information gathering, and analytical skills. </li><li>Proficiency in Microsoft Office Suite, including Outlook, Word, Excel, and Power Point and virtual meeting platforms. </li><li>Experience with Adobe Creative Suite and Acrobat. </li><li>Capability to quickly learn web-based information systems and applications. </li><li>Some budget oversight and processing experience. </li><li>Understanding of accessible documentation preferred. </li></ul> <p>Responsibilities</p> <ul> <li>Represent and support the Associate Provost for Strategic Initiatives and Associate VP of Academic Operations in the University community and with external constituents (including international). </li><li>Provide administrative leadership and professional support in highly confidential areas concerning University finances, operations, and strategic initiatives. </li><li>Interact with all levels of university and community partners, including but not limited to Senior Academic Leaders, Deans, Department Heads, Faculty, and with the Chancellor's office and Executive Team as needed. </li><li>Assist in the preparation, editing, and proofreading of documents, reports, presentations, and/or correspondence, some confidential in nature. Maintain and organize confidential files, records, and documentation in accordance with university policies. </li><li>Plan and execute travel, special events, workshops, and meetings as needed. </li><li>Prepare agendas, reports and minutes for meetings as needed. </li><li>Manage and execute a multitude of requests independently on a daily basis that require organizational understanding and quick decision making in order to provide accurate information, service, and guidance to administrators, faculty, staff, students, and community members. </li></ul> <p>Special Projects:</p> <ul> <li>Support projects and initiatives by conducting research, analyzing data, and preparing materials as needed. </li><li>Provide project management, oversight, logistic support, and/or other administrative support for a variety of projects assigned to the Associate Provost for Strategic Initiatives and the Associate VP of Academic Operations as they arise, including but not limited to: </li><li>Provide administrative support for projects/initiatives, including scheduling, coordination with appropriate parties and assist with preparation of materials. </li><li>Manage partnerships with internal and external stakeholders. Research, materials gathering, material review, draft report writing, and final presentation preparation for projects. </li></ul> <p>Office Management:</p> <ul> <li>Manage and coordinate daily office operations including processing procurement card reconciliations, expense reports, manage procurement of supplies and services, maintain files, and other projects as assigned. </li><li>Provide exemplary customer service to internal and external stakeholders, addressing inquiries and resolving issues promptly.
