<p>The Lead Legal Support Specialist provides advanced legal administrative and paralegal support to attorneys within the District Attorney's Office to ensure the efficient, accurate, and timely prosecution of criminal, traffic, civil forfeiture, and juvenile matters. This position independently manages complex and sensitive case files, maintains strict confidentiality, and coordinates communication among internal and external stakeholders. Core responsibilities include drafting, reviewing, and processing legal documents; ensuring compliance with statutory, court, and procedural deadlines; coordinating service and filing requirements; and managing evidentiary materials in accordance with legal and ethical standards to preserve the integrity of the judicial process.</p> <p>In addition to case management duties, this position serves as a lead worker, onboarding specialist, and mentor to legal support staff. The role supports staff development through training, promotes proficiency in case management systems, and assists in the development, implementation, and enforcement of office policies and procedures. This position also provides courtroom and trial preparation support in a high-volume, fast-paced legal environment and may serve as a subject matter resource in areas such as leadership, digital evidence management systems, and advanced paralegal functions.</p> <p>30% Lead Worker Duties</p> <ul> <li>Assist in the development, coordination, and delivery of staff training in collaboration with the Administrative Supervisor. </li><li>Provide mentorship and guidance to clerical and legal support staff to enhance technical proficiency, workflow efficiency, and understanding of office policies and procedures. </li><li>Assist in the development, implementation, and consistent application of office policies, procedures, and best practices. </li><li>Support daily workload distribution, including reassignment of duties based on staffing levels, in-custody priorities, employee absences, and operational needs. </li><li>Serve as a primary resource for resolving questions related to office systems, equipment, and legal processing procedures. </li><li>Maintain advanced proficiency in the Digital Evidence Management System (DEMS), including troubleshooting issues and supporting staff with evidence intake, storage, and workflow processes. </li><li>Coordinate with law enforcement evidence personnel to ensure secure, accurate, and timely transfer and management of digital evidence within DEMS. </li><li>Provide advanced paralegal-level support in criminal and civil forfeiture matters, including drafting, reviewing, and processing legal documents and monitoring case progression. </li><li>Serve as backup to the Administrative Supervisor to ensure continuity of operations as needed. </li></ul> <p>65% Paralegal Duties/Case Management</p> <ul> <li>Receive, review, and enter case referrals into the PROTECT case management system with a high degree of accuracy and timeliness. </li><li>Create, maintain, and update secure electronic case files in compliance with office standards and confidentiality requirements. </li><li>Draft, proofread, prepare, and file a wide variety of legal documents in accordance with statutory requirements and strict court deadlines. </li><li>Coordinate and process complex legal filings, including subpoenas, Governor's Warrants, detainers, and special prosecutor appointments. </li><li>Transcribe attorney dictation using approved transcription software. </li><li>Review, extract, and incorporate relevant records from CCAP and other external systems into case files as appropriate. </li><li>Monitor case timelines, statutory deadlines, and court requirements to ensure full compliance. </li><li>Prepare, organize, and distribute discovery materials and associated billing to defense counsel. </li><li>Communicate professionally and effectively with attorneys, courts, law enforcement agencies, Clerk of Courts staff, and members of the public regarding case status and procedural matters. </li><li>Support high-priority and in-custody caseloads, including court readiness, document preparation, and coordination of case-related logistics. </li></ul> <p>5% Other duties as assigned</p> <ul> <li>Perform additional duties and responsibilities as assigned to support operational needs of the office. </li><li>Extensive knowledge of departmental programs, operations, policies, and procedures. </li><li>Considerable knowledge of District Attorney office systems, including Spillman, PROTECT, WILENET, CCAP, and transcription software. </li><li>Advanced proficiency in Microsoft Office applications (Word, Excel, Outlook, and related tools). </li><li>Strong knowledge of legal terminology, court procedures, and modern office practices. </li><li>Thorough understanding of confidentiality standards and procedures for handling privileged and sensitive information. </li><li>General knowledge of information technology concepts and standard office equipment. </li><li>Ability to clearly communicate policies, procedures, and technical concepts in a professional and understandable manner. </li><li>Ability to design, develop, and deliver effective training and onboarding materials. </li><li>Ability to assess employee skill levels and training needs and adjust instructional approaches accordingly. </li><li>Ability to work independently while also effectively coordinating and supporting team operations. </li><li>Ability to provide direction, guidance, and informal leadership to staff as needed. </li><li>Strong organizational and time management skills with the ability to prioritize and manage multiple deadlines. </li><li>Ability to perform detailed and accurate clerical and administrative work and prepare clear and concise documentation. </li><li>Ability to establish and maintain effective working relationships with internal and external stakeholders. </li><li>Ability to remain professional, composed, and effective when interacting with individuals who may be upset or challenging. </li><li>Ability to operate standard office equipment and maintain consistent and reliable attendance. </li><li>Associate degree in Legal Studies, Paralegal Studies, Legal Secretary, or a related field. </li><li>Three (3) or more years of progressively responsible legal secretarial, paralegal, or legal support experience. </li><li>An equivalent combination of education, training, and experience may be considered. </li><li>Ability to obtain TIME system certification within six (6) months of hire. </li><li>Ability to perform essential physical functions of the position, including standing, walking, and sitting for extended periods. </li><li>Ability to exert up to 20 pounds of force occasionally and up to 10 pounds of force frequently. </li><li>Ability to operate standard office equipment and DEMS. </li><li>Ability to work in an indoor office environment under typical administrative and clerical conditions. </li></ul>
