<p>Responsibilities</p> <p>Windsor Laurelwood is seeking a Outpatient Office Manager!</p> <p>The Outpatient Office Manager is responsible for all aspects of the daily operations of the front office for the Outpatient Department. This includes answering phones, greeting and registering all patients, ordering supplies, creating, tracking and breaking down active patient charts and assisting service providers to provide excellent patient care.</p> <p>Primary Responsibilities and Job Specifications</p> <ul> <li>Follows the hospital guest relations program when greeting and assisting all visitors, ensuring all visitors maintain a proper identification badge. </li><li>Answer and disseminate all incoming phone calls in a professional and courteous manner. </li><li>Functions as the focal communication source for the outpatient area. </li><li>Registers all patients receiving outpatient services into HMS system. </li><li>Assures insurance information is obtained and passed along to billing department. </li><li>Collects co-pays as directed by billing department. </li><li>Assists in identifying and directing patients with insurance / payment problems to Billing Office. </li><li>Creates charts for non intensive, PHP and IOP programs. </li><li>Ensures the integrity of the patient record, breaking down chart for transfer to medical records when services are complete. </li><li>Assures therapists are creating and submitting charge tickets on a daily basis. </li><li>Enters patient visit information into daily census report. </li><li>Create and process purchase orders for supplies and forms as needed. </li><li>Assures physicians lab orders are made available to the physician's assistant, phlebotomist and other medical personnel. </li><li>Assist in maintaining daily census board, making required changes, additions and deletions. </li><li>Handle scheduling for history and physical, physician visits, and assessments as needed. Assures patients see physician in accordance with licensing standards. </li><li>Oversees Beachwood office via regular visits to the Beachwood site and by maintaining contact with direct care staff at the Beachwood location. </li><li>Assists with timekeeping in HMS as directed by supervisory staff. </li><li>Maintains clipboard for CD assessments scheduled for inpatient units. </li><li>Demonstrate excellent guest relations in assisting, communication and cooperation with patients, physicians, coworkers and visitors in a prompt and courteous manner. </li><li>Assist in the escort of patients, if necessary. </li><li>Adhere to facility, department, corporate, personnel and standard policies and procedures. </li><li>Attend all mandatory facility in services and staff development activities, as appropriate. </li><li>Adhere to facility standards concerning conduct, dress, attendance and punctuality. </li><li>Support facility wide quality and performance improvement objectives. </li><li>Maintain confidentiality of facility employees and patient information. </li><li>Skill in organizing and prioritizing workloads to meet deadlines. </li><li>Ability to demonstrate tact, resourcefulness, patience and dedication. </li><li>Ability to accept direction. </li></ul> <p>Qualifications</p> <p>Education/Experience: High school graduate or equivalent. Two (2) years experience in an office milieu preferred.
