<p>Overview</p> <p>This position provides administrative support for D323 Supplier Quality Inspection & Supplier Quality Spec Prog Spt.</p> <p>Specific job functions include:</p> <ul> <li>Monitoring of departmental commitment status and close-out </li><li>Electronic archiving (scanning) & filing (MS Access) </li><li>Data input / updating of various departmental databases (e.g. MS Excel & MS Access, 7G) </li><li>Preparation & publication of various reports (MS Excel & MS Access) </li><li>Managing departmental equipment & supply inventories (MS Excel) </li><li>Assist with the preparation of Job Instruction Breakdown (JIB) sheets (MS Word) </li><li>Management of departmental continuous improvement databases (MS Access) </li><li>Support manager(s) with weekly performance metrics as required </li><li>Preparation of monthly business and technical presentations (MS PowerPoint) </li></ul> <p>Additionally, the position will support Admin efforts (charging DCI) to include, but not limited to, the following:</p> <ul> <li>Maintaining departmental personnel records </li><li>Processing of new hires & employee severance's; updating dept org charts accordingly </li><li>Scheduling meeting & publishing agendas & minutes (Lotus Notes) </li><li>Monitoring & maintaining departmental training records (LMS / Plateau) </li><li>Making travel arrangements, preparing visit requests & expense reports (Concur) </li><li>Preparation & processing of computer requests / IT service requests & communication work orders (CSARs / CWOs) </li><li>Preparation of supply orders & purchase requisitions as required </li><li>Onboarding of department new hires </li><li>Event planning to include coordinating conference rooms, refreshments, large meetings, etc. </li></ul> <p>Qualifications</p> <p>Requirements:</p> <ul> <li>5+ years of Administrative Assistant experience </li><li>Proficient using Excel and the Microsoft Office Suite </li><li>Must type 45 words per minute. </li><li>High School Diploma, GED, or 2+ years of related technical experience </li><li>Office administration experience </li><li>Strong communication, organizational and interpersonal skills </li><li>Must be available to work extended hours as business needs dictate </li><li>Must be able to obtain and maintain a secret clearance. </li></ul> <p>Preferred:</p> <ul> <li>2+ years Electric Boat experience is preferred </li><li>Experience with EB's electronic systems (Electronic Desktop, 7G, MRPII, CPJ, MQS, JCALS, Plateau, MS Office Suite, etc.) is preferred </li><li>Post secondary education preferred </li><li>BA in English or related degree is highly desired </li><li>Familiarity with Electric Boat Writing Guide is desired </li></ul> <p>Skills</p> <ul> <li>Word Processing </li><li>Strong Written and Verbal Communication including editing and proof reading and communicating with all levels of the organization </li><li>Strong Organization and ability to plan and manage a high volume of work </li><li>Time Management especially ability to manage schedules of self and others and meet deadlines to support business needs </li><li>Ability to prioritize and organize work to ensure routine tasks are accomplished, while addressing emergent tasking items </li><li>Attention to Detail </li><li>Problem Solving and ability to resolve obstacles impeding progress </li><li>Ability to work independently and complete tasks with minimal supervision </li><li>Exceptional customer service skills </li><li>Ability to effectively multi-task </li><li>Good interpersonal and organizational skill </li><li>Ability to work effectively in a team setting </li></ul>
