<p>The Honors College at West Virginia University is currently accepting applications for a Temporary Part-Time Administrative Assistant.</p> <p>About the Opportunity</p> <p>The position has three main areas of work. First, assist in the office of Undergraduate Research to take on some of the duties of a program coordinator that has left. Second, to do work for the Governor's Honors Academy that will bring ~130 of the state's top high school students to the Morgantown campus for a 2-week summer immersive experience. And finally, take of some duties of the office administrator in the Honors College who will go on FMLA in the spring 2026 semester.</p> <p>What You'll Do</p> <p>Undergraduate Research</p> <ul> <li> <p>Help with the logistics for Undergraduate Research Day at the Capitol (February 19):</p> </li><li> <p>Coordinate with students presenting the bus ride to Charleston.</p> </li><li> <p>Make bus reservations and follow up with all confirmations needed.</p> </li><li> <p>Travel to Charleston and help students with whatever is needed.</p> </li><li> <p>Help with Spring Symposium (April 9):</p> </li><li> <p>Coordinate poster boards delivery</p> </li><li> <p>Set up Ballrooms and oral presentation rooms</p> </li><li> <p>Coordinate catering</p> </li><li> <p>Coordinate contact with WVU offices tabling at the symposium</p> </li><li> <p>Make nametags for presenters and judges</p> </li><li> <p>Coordinate with the team all the materials that need to be transported from Undergraduate Research (Eiesland Hall) to the Mountainlair for the day of the event.</p> </li><li> <p>Help with mentor award:</p> </li><li> <p>Order and plaques and coordinate deliver to the Blaney house for ceremony.</p> </li><li> <p>Coordinate payment of the monetary award with awardees, which involves filling out forms and keeping track of expenses.</p> </li><li> <p>Help with SURE orientation day (May):</p> </li><li> <p>Coordinate lunch order and delivery</p> </li><li> <p>Coordinate social activities that happen in May and June, which include:</p> </li><li> <p>Space reservations and confirmations</p> </li><li> <p>Order food and coordinate delivery.</p> </li><li> <p>Governors Honors Academy</p> </li><li> <p>Create the Course Offerings document that includes instructor photos/biographies and course names/descriptions</p> </li><li> <p>Secure classrooms for faculty</p> </li><li> <p>Work with GHA deans to determine which faculty will give evening presentations</p> </li><li> <p>Create faculty shopping lists as faculty request materials</p> </li><li> <p>Do the purchasing for the academy and reconcile those purchases</p> </li><li> <p>Organize faculty requested materials</p> </li><li> <p>Execute a plan for transporting students between campuses as well as transportation for off-campus trips</p> </li><li> <p>Book off-campus trips</p> </li><li> <p>Revise the GHA Student Handbook</p> </li><li> <p>Revise the medication form if necessary</p> </li><li> <p>Make Qualtrics form to collect student information, insurance card scans, and all necessary waivers signatures</p> </li><li> <p>Work with deans to modify course request form</p> </li><li> <p>Communicate with high schools with low participation rates to encourage applications</p> </li><li> <p>Communicate with parents about GHA and how it functions</p> </li><li> <p>Assist with payroll</p> </li><li> <p>Honors College</p> </li><li> <p>Manage calendars of the Dean and Assoc. Dean</p> </li><li> <p>Schedule requested meetings (may include Honors Advisory Council and/or Honors College Visiting Committee)</p> </li><li> <p>Purchase food for meetings and/or events</p> </li><li> <p>Manage media room and annex calendars</p> </li><li> <p>Answer phone at front desk if/when students aren't available</p> </li><li> <p>Ask directors for end-of-year purchases</p> </li><li> <p>Assist staff with budget questions/funding strings/reconciliations</p> </li><li> <p>Assist with events (Honors ceremony, Bucklew events)</p> </li><li> <p>Serve as an onsite coordinator for events</p> </li><li> <p>Work with Marketing and Communication to plan events</p> </li><li> <p>Manage student workers and timecards</p> </li><li> <p>Assist with ordering/planning for welcome week</p> </li><li> <p>Work with associate dean and SBA to submit fall payments (secondary assignment forms and contracts)</p> </li><li> <p>Schedule whole team events</p> </li><li> <p>Track spending of faculty development funds held by the honors college</p> </li></ul> <p>Other duties as assigned</p> <p>Pay Grade: 15</p> <p>Length of Assignment: 7 Months</p> <ul> <li>BS or an equivalent combination of directly related work experience. </li><li>(1) year of experience- Working with high school students preferable. </li><li>Any equivalent combination of related education and/or experience will be considered. </li><li>All qualifications must be met by the time of employment. </li></ul> <p>Knowledge, Skills, & Abilities</p> <ul> <li>Good team player </li><li>Fluent with Microsoft software including Word, Excel, PowerPoint </li></ul>
