<p>Title: SECRETARY - EARLY CHILDHOOD CENTER File 205</p> <p>Reports to: Assigned administrator/supervisor</p> <p>Job Objective: Performs secretarial and ancillary program support services.</p> <p>Minimum · High school diploma or GED. Significant secretarial and data processing work experience.</p> <p>Qualifications: · Ability to implement principles of office administration (i.e., organization, procedures, etc.).</p> <ul> <li>Documents/maintains a record free of criminal violations that prohibit public school employment. </li><li>Embraces high-performance standards (e.g., engagement, proficiency, resilience, etc.). </li></ul> <p>Essential 1. Delivers effective secretarial services. Sustains a supportive office environment that</p> <p>Functions: promotes professionalism and a shared commitment to organizational outcomes.</p> <ul> <li>Identifies work priorities to focus on important tasks that require immediate attention. </li><li>Identifies clear roles and performance expectations staff, students, and volunteers assigned to the office. Accepts responsibility for the results of delegated duties. </li><li>Assists office visitors. Answers routine questions or directs inquiries to appropriate staff. </li><li>Answers/directs telephone calls. Prepares detailed messages when employees are not available. </li><li>Sorts and distributes mail. Prepares photocopies. Collates printed materials. </li><li>Schedules appointments. Organizes materials for meetings. Transcribes minutes as requested. </li><li>Provides backup support for other departments. Assists with special projects as directed. </li><li>Assists with the office inventory control system to ensure dependable supply levels. </li><li>Prepares purchase requisitions. Maintains procurement records. Receives deliveries. Reconciles invoices. Monitors vendor performance (e.g., customer service, product quality, reliability, etc.). </li><li>Receives, records, and communicates with parents regarding monthly tuition installments. </li><li>Assists with the preparation and delivery of daily snacks. </li><li>Assists students with minor injuries and illnesses in the Early Childhood Clinic. Notifies the school nurse when appropriate. </li><li>Coordinates Preschool and Kindergarten registration and enrollment processes. </li><li>Assists the Preschool Director with tasks as assigned. </li><li>Maintains effective document and records management systems. Prepares accurate, timely files. Monitors compliance reporting deadlines. Ensures the integrity and security of confidential materials. Complies with district records retention and disposal policies. </li></ul> <ol start="2"> <li>Diligently attends to job details. Pursues quality results. Performs all aspects of the job. </li></ol> <ul> <li>Develops mutually respectful relationships with co-workers. Functions as part of a cohesive team. </li><li>Maintains a professional appearance.
