<p>FT Academic Services Compliance Office Support Staff</p> <p>Date Position is Open</p> <p>07/16/2025</p> <p>Work Schedule</p> <p>40 hrs. /week, 8:00 a.m. to 5:00 p.m. (1 hour nonpaid lunch) Must be flexible to attend evening Advisory Board Committee Meetings.</p> <p>Salary Ranges</p> <p>$17.23 - $22.35</p> <p>FLSA Status</p> <p>Non-Exempt</p> <p>Summary:</p> <p>Provides support for the Academic Services, Perkins Grant, and Academic Compliance Office. Provides support as to the compliance</p> <p>responsibilities for Accreditation, Curriculum, Assessment, and Articulation. Provides clerical support for Academic Services and the</p> <p>Dean of Institutional Effectiveness and the Associate Dean of Curriculum, Assessment, and Articulation. This position reports to the</p> <p>Dean of Business, Legal, & Institutional Effectiveness.</p> <p>Essential Duties and Responsibilities:</p> <p>Academic Services</p> <ul> <li>Receive students and visitors at Academic Services Reception desk or via phone </li><li>Assist the Deans and the Coordinators with preparing part-time and adjunct teaching schedules </li><li>Manage part-time and adjunct contracts and the on-boarding process and other supplementary documentation </li><li>Process forms for class coverage request, travel request and travel vouchers </li><li>Track and processes syllabus submission frcim adjunct and part-time faculty in respective disciplines </li><li>Manage records and ensures confidentiality of material </li><li>Input and accesses information utilizing SCT Banner, including data entry adjunct and part time faculty payroll budget codes in </li></ul> <p>FLAC</p> <ul> <li>Work with the Bookstore, Book publishers and Book reps to secure textbooks </li></ul> <p>Assessment</p> <ul> <li>Assist in the development, distribution, and collection of institutional assessment materials </li><li>Provide required institutional and program specific assessment reports </li><li>Support faculty and staffs requests and inquiries regarding curriculum development and submission status </li></ul> <p>Compliance</p> <ul> <li>Assist in the development and communication of monthly meeting agenda and supporting materials and documentation </li><li>Maintain articulation agreement database and agreements </li><li>Support faculty and staff efforts with on-site accreditation visits and audit reporting </li><li>Record committee meeting minutes, specifically Curriculum Committee, Assessment Council, Program Audit/General </li></ul> <p>Education, Institutional Effectiveness, Perkins Grant, Articulation Committee, Program Advisory Committees and maintain</p> <p>archive of documentation</p> <ul> <li>Maintain compliance records and files as required by third party partners (I.e. Perkins, SARA, Programs, MSCHE, etc.) </li></ul> <p>Academic Grants</p> <ul> <li>Supports the Grant Office with data tracking and documentation gathering for grant reporting and compliance </li><li>Tracks salaries, benefits, supplies, equipment, and other activities funded by the Perkins grant; enters purchase requisitions in </li></ul> <p>Banner; works with faculty and staff to verify delivery of purchases; maintains budget spreadsheets; follows up on expenditure</p> <p>of funds and develops expense projections.</p> <ul> <li>Supports the Perkins Participatory Planning Committee meeting, including maintaining the membership list, emailing meeting </li></ul> <p>notices, and recording and distributing minutes.</p> <ul> <li>Gathers monthly time and effort reports from staff funded under Perkins and assists with data and documentation collection for </li></ul> <p>the Perkins grant and performance report.</p> <ul> <li>Develops reports for Perkins activity monitoring. </li><li>Assists with clerical and administrative tasks. </li></ul> <p>Required:</p> <p>Education</p> <ul> <li>Associate degree from an accredited institution </li><li>OR High School Diploma with 2 years of relevant work experience in professional role </li></ul> <p>Certifications</p> <ul> <li>Act 153 Clearances (Act 34 PA Criminal Background, Act 151 PA Child Abuse History, Act 114 FBI Clearance Fingerprinting) </li></ul> <p>Work Experience</p> <ul> <li>Experience in compliance or quality assurance support. </li><li>Proficient in MS Word, Excel, Google Apps and database software. </li><li>Minimum of 3 years high level office experience </li></ul> <p>Knowledge, Skills, Abilities</p> <ul> <li>High attention to detail. </li><li>Record management and analytical skills. </li><li>Ability to be confident working with students, staff and the general public. </li><li>Experienced tlme management and organizational skills. </li><li>Ability to multi-task in a fast paced environment. </li><li>Experienced written and verbal communication skills. </li><li>Team player with ability to handle diverse duties. </li><li>Problem resolution skills. </li><li>Ability to handle unexpected situations and flnd solutions </li><li>Critical Thinking: Ability to anticipate needs, prioritize tasks, and resolve problems effectively </li><li>Must possess a high level of the following work skills and behaviors: ability to meet deadlines and work in fast paced </li></ul> <p>environment; ability to coordinate multiple tasks and projects and perform in a highly efficient manner; ability to work</p> <p>independently, with limited direct supervision; teamwork/cooperation, initiative; and commitment to continuous professional</p> <p>growth in skills and knowledge.</p> <p>Preferred:</p> <ul> <li>Bachelor from an accredited institution. </li><li>Experience with Ellucian Banner System, and Apex. </li></ul> <p>Physical Demands</p> <p>While performing the duties of this job, the employee is frequently required to stand; walk; sit: use hands lo finger, handle, or feel; reach</p> <p>with hands and arms; and talk or hear.
