Individuals from traditionally underrepresented groups are strongly encouraged to apply.</p> <p>Duties and Responsibilities</p> <p>The Talent Search (TS) and Center for Intercultural and Student Engagement (CISE) clerical assistant is responsible for the administrative functions and general support for TS and CISE including:</p> <ul> <li>Manage travel schedules for case workers. </li><li>Schedule meetings for cases workers and other TS personnel. </li><li>Reconcile expenditures to the grant. </li><li>Oversee all application processes and procedures for prospective students. </li><li>Oversee all data entry for program participants from the initial application through the completion of the program. </li><li>Develop communication materials for prospective students and families. </li><li>Answer questions for prospective students and families. </li><li>Coordinate educational experiences for TS students. </li><li>Coordinate summer experiences for TS students. </li><li>Serve as the TS primary point-of-contact for communication with the assigned high schools. </li><li>Collect and disseminate data relative to the evaluation of the TS program, feedback from high school administrators, and opportunities for improvement from stakeholders. </li><li>Run reports on spending, participation, and services utilization. </li><li>Collaborate with University Office of Grants, Sponsored Programs and Research, and the Office of Accounting and Budget for award management and financial administration. </li><li>Provide promotional materials to campus departments to enhance awareness about TS. </li><li>Troubleshoot problems for vendors, faculty, or others providing support to TS students. </li><li>Ensure compliance with U.S. DOE performance and financial reporting requirements. </li><li>Provide customer service for the office by answering phone calls and interacting with walk-in appointments. </li><li>Open and close the office during normal business hours and provide an office presence for students. </li><li>Monitor and respond to emails for the office. </li><li>All other duties as assigned. </li></ul> <p>Required Qualifications</p> <ul> <li>Six months as a clerical assistant 1 OR graduation from high school OR any equivalent combination of experience and training. </li><li>Experience performing moderately complex clerical activities with considerable independence. </li><li>Demonstrated ability to: </li><li>work with faculty, staff, and students of diverse cultures, racial and ethnic groups, and socioeconomic status. </li><li>Solve problems. </li><li>Handle multiple, complex tasks with accuracy and attention to detail. </li><li>Maintain a professional demeanor in fast-paced work environment. </li><li>Maintain confidentiality and use discretion. </li><li>Work independently. </li><li>Learn academic and office policies. </li><li>Change priorities with little/no notice. </li><li>Help TS and CISE maintain compliance with federal, state, and institutional policies and other requirements. </li><li>Excellent customer service skills. </li><li>Excellent oral, written, and interpersonal communication skills. </li><li>Flexibility, willingness, and ability to pursue and adopt new ideas, information, and technology, and process and summarize information. </li><li>Proficiency in standard office technology, including Microsoft Office, Teams, and Zoom. </li><li>Experience managing schedules using software management systems. </li><li>Commitment to inclusive practices and working with diverse student populations. </li><li>Successful interview (including Word and Excel tests). </li><li>Successful completion of three background checks. </li></ul> <p>Preferred Qualifications</p> <ul> <li>2 Years of work experience in clerical/secretarial position(s). </li><li>Experience working at a college or university. </li><li>Experience working directly with students and external vendors or organizations. </li><li>Working knowledge of institutional policies and procedures. </li></ul> <p>Essential Functions</p> <p>Please Note: These duties are to be performed with or without an accommodation.
