All qualified applicants will receive consideration for employment without regard to race, color, religion, gender, sexual orientation, gender identity, disability, or veteran status.</p> <p>Description</p> <p>Administrative Assistant</p> <p>Position Summary</p> <p>Hesperos, Inc. is seeking a highly organized, detail-oriented, and proactive Administrative Assistant to support the Chief Scientist in both his corporate and academic roles. This critical role provides comprehensive administrative, editorial, and grant management support to the Chief Scientist, researchers, and associated offsite collaborating PIs. The ideal candidate will be adept at managing complex research documentation, navigating university and federal grant submission systems, and handling high-level administrative tasks essential for a successful research enterprise.</p> <p>Essential Duties and Responsibilities</p> <p>I. Research Compliance and Publication Management</p> <ul> <li>Assist with the editing, formatting, and submission/resubmissions of journal manuscripts, including proof correction management. </li><li>Ensure manuscript publishing is compliant with all grant funding requirements, including mandatory federal public access policies. </li><li>Conduct publication searches, compile relevant citation data, ensure appropriate formatting and insertion of citations in publications, and accurately maintain a citation library using Endnote. </li><li>Assist with the editing, formatting, and submission of conference abstracts and other required presentation materials. </li></ul> <p>II. Grant and Proposal Development</p> <ul> <li>Assist with the technical administrative portion of the grant submission process and preparing materials for collaborative proposals. </li><li>Utilize specialized grant management systems (Huron and NIH ASSIST) to facilitate submissions, including the preparation of the full electronic package. </li><li>Serve as the primary point-of-contact for subcontracts, collaborators, and consultants involved in the proposal and award process. </li><li>Assist with the initiation, data gathering, completion, and submission of mandatory grant reports. </li></ul> <p>III. Travel and Fiscal Support</p> <ul> <li>Handle all travel logistics for the Chief Scientist and other staff, including researching and booking travel accommodations and managing reservations. </li><li>Create and process official travel requests and expense reimbursements for the Chief Scientist. </li><li>Coordinate with the Chief Scientist on various official forms, including those related to administrative logistics, accounting, Tech Transfer, and other documentation. </li></ul> <p>IV. General Administrative Support</p> <ul> <li>Assist with the writing, transcription, formatting, and submission of documents. </li><li>Ensure all necessary administrative and HR paperwork is accurately and completely processed. </li><li>Coordinate correspondence and logistical arrangements for meetings and conferences. </li></ul> <p>Minimum Qualifications</p> <ul> <li>High School Diploma or equivalent and four (4) years of progressively responsible administrative experience. </li><li>Demonstrated proficiency in professional writing, editing, and formatting of technical documents (e.g., reports, manuscripts, business letters). </li><li>Exceptional organizational skills, including proven ability to manage multiple simultaneous projects with tight deadlines. </li><li>High proficiency with Microsoft Office Suite (Word, Excel, PowerPoint) and other standard office software. </li><li>Ability to handle sensitive information with discretion and maintain strict confidentiality. </li><li>Strong interpersonal and verbal communication skills for effective correspondence. </li></ul> <p>Preferred Qualifications</p> <ul> <li>A Bachelor's degree from an accredited institution. </li><li>Direct experience with federal grant proposal submission processes, particularly those involving NIH. </li><li>Demonstrated proficiency and training in using grant management systems such as Huron and NIH ASSIST. </li><li>Proficiency with citation management software, specifically Endnote. </li><li>Experience working in a scientific, technical, or academic environment. </li></ul> <p>Please apply at https://forms.monday.com/forms/79f9957b675a8fa042c36e7ebe6581ec?r=use1</p> <p>Applications submitted on other platforms will not be considered.</p> <p>Apply for Administrative Assistant</p>
