<p>About Qargo</p> <p>Qargo is a fast-growing tech scale-up with offices in London and Ghent. We're on a mission to revolutionize the transportation industry by making it more efficient, profitable, and sustainable. Our Transport Management System (TMS) is designed to be the most user-friendly and intuitive on the market, automating administrative tasks and optimizing planning for our customers.</p> <p>To support our growth and keep daily life at Qargo running seamlessly, we're looking for a proactive and hands-on Office & Management Assistant. You'll be the person who keeps the heart of our Ghent office beating, handling the practical side of things, while creating a space where the team feels supported and at home.</p> <p>What you'll be doing</p> <p>Overseeing daily office operations: making sure supplies are stocked, groceries are ordered, the post is handled, and everything is in its place</p> <p>Acting as the point of contact for vendors and third parties (cleaning company, building management, maintenance providers, etc.)</p> <p>Managing Qargo-branded materials like swag, business cards, printed assets, and other merchandise</p> <p>Managing all travel and logistics for the entire company-including fairs, customer visits, and internal team events</p> <p>Helping organise team events, bringing people together and making sure everything runs smoothly</p> <p>Providing practical and administrative support to the management team, like scheduling meetings, managing calendars, and stepping in as a personal assistant when needed</p> <p>Coordinating onboarding logistics, so every new joiner feels welcome and prepared from day one</p> <p>Taking initiative to maintain a tidy, pleasant, and welcoming office atmosphere - right down to the little details</p> <p>What we're looking for</p> <p>Someone highly organized and structured, who thrives on keeping things in order and running efficiently</p> <p>A practical doer who takes initiative and handles tasks without needing to be asked</p> <p>A keen eye for detail, whether it's thoughtful finishing touches on a team event or well-prepared welcome packs for new joiners</p> <p>Strong coordination and communication skills, with a professional and approachable attitude</p> <p>Someone who enjoys being of service, supporting others, and creating a smooth and enjoyable work experience for the whole team</p> <p>Discreet and trustworthy, able to handle sensitive information with professionalism and care</p> <p>Around 2 years of experience in a similar administrative, office, or operations support role</p> <p>Fluent in both English and Dutch</p> <p>What we offer</p> <p>A competitive salary and benefits package</p> <p>A role with real ownership and the chance to make a visible difference every day</p> <p>Room to grow professionally within a supportive and ambitious team</p> <p>A beautiful, modern, and green office in Ghent where you'll truly feel part of something exciting</p> <p>If you love making things run smoothly, creating a welcoming environment, and being the go-to person who keeps the office humming-then we'd love to hear from you!</p> <p>We'd love to get to know you beyond your CV - so part of the application includes a short 2-3 minute video presentation.
