<p>Job Title: Administrative Assistant</p> <p>Department: Administrative Services</p> <p>Supervisor: Supervisor, Administrative Services</p> <p>Part-Time 8 hours, Fridays only.</p> <p>Job Objective</p> <p>The Administrative Assistant is responsible for maintaining a professional manner while supporting the department staff, answering the phones. Greeting visitors including family members who come into the department. Emphasis on potential residents, outside agencies as well as hospitals. The Administrative Assistant will use Microsoft Office products, the computer and other office equipment to produce a high volume of multiple tasks and assignments accurately and timely.</p> <p>The Administrative Assistant will perform a variety of clerical support functions to maintain the day-to-day operations, as well as be responsible for maintaining a well-organized, detailed oriented, smooth-running office while performing essential job functions.</p> <p>Minimum Qualifications</p> <p>Education: High School Diploma</p> <p>Experience: Prior Receptionist and/or Administrative Assistant experience preferred and/or minimum of 2 years related experience.</p> <p>Licensure: Notary Public (optional)</p> <p>Job Standards</p> <ol> <li> <p>Excellent customer service skills. Demonstrates a professional appearance and demeanor. Leads by example and serve as a role model for Mozaic Senior Life Core Values and common courtesy i.e., immediate eye contact, greet visitors promptly and in a friendly welcoming manner.</p> </li><li> <p>Strong communication skills. Effectively communicates in a confident manner. Communicate with supervisors and management in a clear, concise, and timely manner. Provide ongoing feedback to immediate supervisor(s).</p> </li><li> <p>Demonstrate proper telephone etiquette.</p> </li><li> <p>Decision Making Skills Independently makes educated decisions based on policies and procedures that will not negatively affect MSL.</p> </li><li> <p>Multitasking Skills Is able to successfully perform multiple tasks and assignments in an accurate and timely manner while meeting other needs of the business.</p> </li><li> <p>Flexibility and reprioritize based on the situation at hand.</p> </li><li> <p>Overall, Character Works well under pressure; remain calm during challenging situations/emergencies.</p> </li><li> <p>Confidentiality Adheres to HIPAA regulations. Respect Resident, Client, and visitor privacy.</p> </li><li> <p>Ability to work independently as well as in a team environment.</p> </li></ol> <p>Essential Job Functions</p> <ol> <li>Provide clerical support to include but not limited to drafting and typing letters and other communications. Must be proficient specifically in Word and Excel. </li></ol> <p>Non-Essential Functions</p> <ol> <li>Ability to lift/carry up to 25 lbs. </li></ol> <p>Physical and Mental Requirements</p> <ol> <li> <p>Ability to hear and be understood via phone.</p> </li><li> <p>Ability to walk or travel throughout the facility.</p> </li><li> <p>Ability to sit or stand for long periods of time.</p> </li><li> <p>Ability to bend, stoop, pull and reach.</p> </li><li> <p>Ability to handle stressful situations.</p> </li><li> <p>Ability to multitask.</p> </li><li> <p>Ability to communicate in a clear, concise manner.</p> </li><li> <p>Ability to read and write.</p> </li><li> <p>Ability to remain professional, calm and in control always.</p> </li></ol> <p>Environmental Conditions</p> <ol> <li> <p>Rare exposure to blood, body tissue or fluids.</p> </li><li> <p>Possible exposure to high/low temperatures.</p> </li></ol>
