<p>Position Summary and Job Duties</p> <p>This position provides general receptionist duties to the public and staff in the District Attorney's Office. This position also handles most of the typing of the various correspondence that is needed to be sent to victims/witnesses, screening phone calls, answering questions that victims have about their cases. This position also backs up ordering office supplies.</p> <p>85%- General Receptionist duties -- Assist the public by phone and in person:</p> <ul> <li>Screen phone calls; answer questions; assist with paperwork from victims; </li><li>Type various correspondence to victims and witnesses from the initial contact with a victim to the final disposition letter; and </li><li>Answer questions or communicate with witnesses as needed. </li></ul> <p>5%- Processing of Files:</p> <ul> <li>Making up new files; </li><li>Filing open and close files; </li><li>Pulling files for the calendar each day. </li></ul> <p>10%- Other duties:</p> <ul> <li>Getting the mail and taking the mail to the mailroom timely; </li><li>Ordering the office supplies; </li><li>Assisting with witness fees; </li><li>Documenting contacts with victims and witnesses. </li></ul> <p>Success Factors (KSA's)</p> <ul> <li>Knowledge of modern office methods and practices </li><li>Knowledge of departmental programs, operation and policy. </li><li>Knowledge of Microsoft Office Products especially Word, Excel and Outlook </li><li>Ability to type neatly and correctly from notes, rough draft notes and inserting appropriate information to template documents. </li><li>Ability to perform varied and difficult clerical tasks. </li><li>Ability to establish and maintain effective public and working relationships. </li><li>Ability to operate a variety of office machines. </li><li>Ability to maintain accurate files and accurate documentation. </li><li>Ability to prioritize and manage fluctuating workloads and deadlines. </li><li>Ability to maintain confidential information. </li></ul> <p>Job Requirements, Education, Training & Experience</p> <ul> <li>Graduation from high school, including or supplemented by a course in typing, and related commercial courses. </li><li>Three (3) or more years of responsible office work experience. </li><li>Experience in a legal office or criminal justice related office preferred. </li></ul> <p>Essential Job Functions (physical elements, equipment and working conditions)</p> <p>Physical elements:</p> <ul> <li>Ability to stand, walk and sit. </li><li>Ability to exert up to 20 lbs of force occasionally or up to 10 lbs of force frequently. </li></ul> <p>Equipment use:</p> <ul> <li>Ability to use computer, computer keyboard, copier, fax machine, printer, and calculator. </li></ul> <p>Working conditions:</p> <ul> <li>Working in an indoor office setting. </li></ul>
