<p>Close Date Full-Time/Part-Time Full-Time Exempt/Non-Exempt Exempt Description</p> <p>To Apply:</p> <p>Please complete the online application found at www.jeffcomo.org Resumes are accepted as supplemental information only and will not be used as a substitute for the application, you must complete the application in full.</p> <p>JOB SUMMARY</p> <p>The position involves performing administrative work which involves being responsible for coordinating administration of a County office; preparing and/or typing of documents; and supervising staff engaged in administrative office support functions.</p> <p>ESSENTIAL JOB FUNCTIONS</p> <ul> <li>Oversees the receiving, screening, and routing of messages, mail, office deliveries, etc. </li><li>Supervises the composing of: replies to correspondence, requests for materials, meeting agendas, notes and minutes, official department memoranda, and other department documents. </li><li>Prepares correspondence, memoranda, reports, and other materials from handwritten hard copy, prerecorded or oral dictation. </li><li>Establishes and maintains hard copies or computer files. </li><li>Receives visitors, answers phones, relays messages, and represents the Department through routine oral and written contact. </li><li>Maintains schedules and coordinates meetings and agendas. </li><li>Attends meetings and takes and transcribes minutes. </li><li>Makes travel reservations. </li><li>Coordinates, monitors, and assists in budget projections and allocates appropriated funds. </li><li>Confers with other government office representatives, businesses, and the general public, providing information concerning rules, regulations, methods, procedures, proper submission of documents, and provisions of laws relating to the Department. </li><li>Coordinates work flow to and from the office. </li><li>Advises Supervisor of significant problems and notifies staff of changes or revisions to office policy or procedure. </li><li>Exercises independent judgment in interpreting and releasing information and assures security of files. </li><li>Assigns and reviews work of staff, providing guidance and direction, and monitoring completion of performance objectives. </li><li>Directs work activities, evaluates work performance and assists with performance evaluations and related documents. </li><li>Serves as a resource to other office staff, providing guidance and direction, resolving complex or technical problems, and overseeing special project activities. </li><li>Reviews timecards and oversees sick and vacation time. </li><li>Cross trains on all administrative positions to aid Department as needed. </li><li>Performs work at assigned location during specified business hours. </li><li>Performs related additional duties as required and assigned. </li></ul> <p>Position Office Administrator - Public Works Position Requirements</p> <p>QUALIFICATIONS</p> <p>Education and Experience:</p> <ul> <li>High School Diploma or equivalent, Associate's Degree in a business program preferred; </li><li>Five (5) years of administrative experience; </li><li>Previous supervisory experience in an office setting required; </li><li>Or equivalent combination of education and experience. </li></ul> <p>Licenses or Certifications:</p> <ul> <li>Requires licensure as a Notary Public. </li></ul> <p>Special Requirements:</p> <ul> <li>Many situations may require early morning or late evening hours. </li></ul> <p>Knowledge, Skills and Abilities:</p> <ul> <li>Knowledge of County programs, rules and regulations. </li><li>Knowledge of bookkeeping and budgetary principles and practices and statistical analysis. </li><li>Knowledge of administrative terminology, forms, documents, procedures, and practices involved in composing, processing, and filing a variety of legal documents and reports. </li><li>Ability to use a variety of hardware and software including but not limited to Microsoft Word, Excel and Publisher as well as department specific systems. </li><li>Knowledge of the principles of office management and of manual and automated office equipment with knowledge of computer applications. </li><li>Ability to supervise and train others. </li><li>Ability to establish and develop written instructions and procedures. </li><li>Ability to communicate clearly and effectively both orally and in writing. </li><li>Ability to compose written communications using proper grammar, spelling and punctuation. </li><li>Ability to apply interpersonal skills in interaction with other employees and the public. </li></ul> <p>PHYSICAL DEMANDS</p> <p>The work is light and requires exerting up to 20 pounds of force occasionally and/or negligible amount of force frequently or constantly to lift, carry, push, pull or otherwise move objects, including the human body. The work also requires mental and visual acuity, speaking, balancing, climbing, crawling, crouching, feeling; picking, pinching, typing, or otherwise working primarily with fingers rather than with the whole hand; grasping; picking, holding or otherwise working with the whole hand; hearing, kneeling, pulling, pushing, reaching, repetitive motion, standing, stooping, talking, and walking.</p> <p>WORK ENVIRONMENT</p> <p>The work is performed indoors in an office environment with low to moderate noise level.
