<p>SUMMARY</p> <p>The Staffing Coordinator maintains staffing schedules at Sholom Care Centers, including master schedules, daily schedules for the Nursing Department.</p> <p>Hours: Full time, 6:30am-3:00pm</p> <p>Pay: $22.00/hour-$27.00/hour</p> <p>PRIMARY RESPONSIBILITIES</p> <ul> <li> <p>Support residents and department needs by developing and managing staff schedules for regular Nursing employees, including Care Specialists/NAR, Nurses, Supervisors and others to comply with internal and external policies.</p> </li><li> <p>Develop and maintain master and daily schedules, roster of current staff, and manage staffing levels as needed.</p> </li><li> <p>Generate reports and data, including work hours, vacancies, inconsistencies and scheduling concerns.</p> </li><li> <p>Submit and manage information alongside Human Resources to ensure data accuracy.</p> </li><li> <p>Manage PPD report and validate payroll bi-weekly.</p> </li><li> <p>Document all contracted nursing staff hours for Payroll Based Journal reporting.</p> </li><li> <p>Provide new hires' schedule to work or need for additional training, organizing training as necessary.</p> </li><li> <p>Develop a relationship and process with Human Resources to track FMLA and workers compensation cases. Monitor progress, return-to-work and keep accurate records.</p> </li><li> <p>Work closely with Director of Nursing and Nurse Managers on a daily basis to schedule and staff licensed staff and Care Specialists/NAR, ensuring a full roster as budgeted.</p> </li><li> <p>Track daily absences and escalate attendance concerns to nursing leadership as appropriate based on Sholom policies and standards.</p> </li><li> <p>Ensure work schedules are accurately documented to meet state regulatory requirements, monitoring accuracy of resignation and attendance records.</p> </li><li> <p>Ensure accurate reporting of all active NAR/Care Specialist on the Minnesota Department of Health Certified Nursing Assistant registry and submit the Facilities Nursing Aide Staff report on a monthly basis.</p> </li><li> <p>Support various other Nursing responsibilities as needed.</p> </li></ul> <p>JOB SPECIFICATIONS</p> <p>Education, Experience and Credentials</p> <ul> <li>One years' experience in a related position working with staffing screening, staffing and or scheduling required. </li><li>Work experience in long-term care or senior services preferred. </li></ul> <p>Knowledge, Skills and Abilities</p> <ul> <li>Effectively communicate in the English language with people of all levels, both inside and outside the organization. </li><li>Flexible and productive in an environment with regular interruptions. </li><li>Understand and maintain confidential nature of organization, client and employee information in accordance with HIPAA regulations and corporate compliance standards, including appropriate access of data housed within the Information Technology infrastructure. </li><li>Display high levels of customer service, responding promptly and thoroughly to the inquiries and needs of individuals both internal and external to the organization in accordance with out PROUD standards. </li><li>Possess effective problem solving skills. </li><li>Strong computer skills, including Microsoft Word, Excel, Outlook, HRIS, Internet and other applications. Must be skilled in database management and record keeping. </li><li>Able to understand and follow facility and department safety and emergency procedures. </li></ul> <p>PHYSICAL REQUIREMENTS NECESSARY TO PERFORM THIS JOB</p> <p>Incumbent must be able to:</p> <ul> <li>Perform light work, with occasional or negligible lifting of object weighing up to 20 pounds. </li><li>Effectively communicate in the English language, including following oral and written instructions, in order to communicate with people inside and outside the organization. </li><li>Able to effectively use office equipment to review and create information. </li><li>Work at a desk for periods of time and performing work at a computer. </li><li>Frequently stand and walk to move around office/building repeatedly throughout the day. </li><li>Able to work a flexible work schedule, including overtime, nights and weekends as required including attending events/meetings as needed. </li></ul> <p>TOOLS AND EQUIPMENT USED</p> <ul> <li>Use telephone, computer and standard office equipment. </li></ul> <p>WORK ENVIRONMENT</p> <p>The work environment is indoors. The incumbent must be flexible about switching positions quickly in order to respond to the needs of residents, in responding to emergencies.
