<p>Security Equipment Supply</p> <p>Operations Administrative Coordinator</p> <p>Job Description</p> <p>4/11/2022</p> <p>The following is the basic job description for the Operations Administrative Coordinator position current as of the date noted above. Any alterations, substitutions, or additions must be approved in writing by two of the following people: Human Resource Manager, Operations Manager and Executive. This position reports directly to the Administrative Manager and indirectly to the Assistant Operations Manager and indirectly to any department manager for which this position is providing meaningful amount of work / effort.</p> <p>Job Classification: Non-Exempt (Hourly) position</p> <p>Basic Function: The primary function of this position is to maintain and causes to maintain the high SES standards for customer service. This position will provide operational support and feedback to departments going through or preparing for operational process improvement in pursuit of excellence. Other administrative expectations including handling travel arrangements, Payment Card reconciliation, and other administrative support to various corporate departments, as well as various members of our management team.</p> <p>Customer service is our highest priority, the expectation for this position is learning how we provide customers with value-added services and executing on servicing them.</p> <p>Essential Functions:</p> <ul> <li>Work with Project Managers and various departments during process improvement to assist with evolution as well providing feedback and suggestions on new and changed operational systems, technologies, workflows, and processes (i.e., P.O. Confirmations, cash receipts postings, etc.). This involves utilizing knowledge gained from performing the manual processes to assist in potentially providing additional improvement areas </li><li>Responsible for full cycle payment card (e.g., AMEX) administrative tasks that include reconciliation of monthly bills along gathering supporting documentation, maintaining travel system(s), and coordinating/making travel arrangements for travelers such as booking flights, cars, hotel or restaurant reservations. This includes maintaining travel credits and other funds appropriated to traveling on behalf of SES </li><li>Ensuring new customer's data is properly entered into the appropriate SES system. Effectively communicate to the branches/departments/potential new customers to ensure prompt service, vetting, and retention </li><li>Supports team by performing administrative functions such as coordinating, scheduling, and organizing meetings, filing, typing, copying, binding, scanning, etc. to ensure efficient office operations. Includes maintaining adequate office supplies, staples, etc. in the corporate office. </li><li>Exhibits polite and professional communication via in person, phone, e-mail, and mail </li><li>Provides information by answering questions and requests </li><li>Ability to successfully interact with all organizational levels, our customers, and vendor business partners </li><li>Works closely with various departments as directed to assist in those departments meeting various operational goals. </li><li>Contribute to initiatives that assist the company in attaining the goal of increasing throughput by controlling assets and reducing operating expenses. </li><li>Contributes to team effort by accomplishing related special projects as needed </li><li>Protect the organization's brand and value by keeping information confidential </li></ul> <p>Competencies:</p> <ul> <li>Oral and Written Comprehension and Expression </li><li>Organizational and Prioritization Skills </li><li>Problem Solving Ability </li><li>Possess ability to work collaboratively </li><li>Proficient working knowledge of Microsoft Suite of products, including Visio and ERP/Accounting system </li><li>Basic network knowledge preferable </li><li>Must always be committed to providing exceptional customer service. </li></ul> <p>Work Environment:</p> <p>This job operates in an office/remote environment. This role routinely uses standard office equipment such as computers, phones, photocopier, scanner, and standard software suites (s), such as the ERP system, and the Microsoft Suite of products.</p> <p>Physical Demands:</p> <p>The physical demands described here are representative of those which must be met by an employee to successfully perform the essential functions of this job. While performing the duties of the job, the employee is occasionally required to stand, walk, or sit; use hands to finger, handle or feel objects, tools or controls; reach with hands and arms; climb stairs; balance; stoop, kneel, crouch or crawl; talk or hear.
