As a Billing Associate, you will play a key role in ensuring accurate and timely invoices, billing, and financial tracking for our early childhood program. This position works closely with the Accounting, Enrollment, and Family Engagement teams to support families, maintain compliance with funding sources, and contribute to the financial sustainability of the organization. At Clayton, we believe that a great place to work isn't just about the job but the people who create success together.</p> <p>What we want you to do:</p> <ul> <li>Generate and distribute monthly invoices for tuition, subsidies, and grants, including funding sources such as Head Start and Early Head Start, Universal Pre-K (UPK), Colorado Child Care Assistance Program (CCCAP), and Denver Preschool Program (DPP) </li><li>Track and reconcile payments, outstanding balances, and billing discrepancies </li><li>Collect monthly parent fee payments and be available to answer questions or trouble shoot issues. </li><li>Communicate with families regarding billing questions, payment plans, and financial assistance </li><li>Collaborate with family engagement staff to monitor and maintain open CCCAP authorizations </li><li>Maintain accurate financial records in accordance with internal policies and external regulations </li><li>Support reporting requirements for government subsidies (e.g., Head Start, UPK) and grant billing </li><li>Collaborate with accounting and family engagement teams to align billing with attendance and eligibility </li><li>Assist in preparing documentation for audits and financial reviews </li><li>Recommend improvements to billing systems and procedures to enhance efficiency and family experience </li></ul> <p>Note: This job posting is not intended to be an exhaustive list of all duties, responsibilities, or qualifications associated with the job</p> <p>What you must have:</p> <ul> <li>Education: Associate's or Bachelor's degree in Accounting, Finance, Business Administration, or related field preferred </li><li>Experience: 2+ years of experience in billing, finance, or administrative support-nonprofit or education sector a plus </li></ul> <p>Skills</p> <ul> <li>Strong proficiency in Microsoft Excel and financial or billing software </li><li>Exceptional attention to detail and organizational skills </li><li>Strong interpersonal and communication skills, with a customer service mindset </li><li>Ability to handle sensitive financial information with discretion and integrity </li><li>Collaboration-focused and team-oriented mindset. </li><li>Demonstrate cultural sensitivity and competency in affect, language, method, and delivery. </li><li>Actively participate in professional development and other Clayton community events </li><li>Previous experience or knowledge of Head Start or Colorado Child Care Assistance Program (CCCAP) a plus </li><li>Background Check: Must be able to pass a comprehensive background check, including CBI/FBI fingerprinting.
