<p>The Executive Administrative Assistant is a trusted partner to executive leadership, delivering high-level administrative, organizational, and operational support within a fast-paced, confidential environment. Serving as a strategic contributor, this position enhances executive effectiveness, supports organizational continuity, and drives overall operational efficiency.</p> <p>Key Responsibilities</p> <ul> <li>Serve as primary administrative support to executive leadership, managing complex calendars, priorities, and logistics across internal and external stakeholders. </li><li>Anticipate executive needs by proactively identifying conflicts, preparing materials in advance, and ensuring leadership is fully briefed and prepared. </li><li>Act as a gatekeeper and liaison, exercising sound judgment when handling sensitive matters, confidential communications, and time-sensitive decisions. </li><li>Coordinate preparation for client meetings and leadership meetings, including agendas, materials, minutes, and follow-up actions. </li><li>Handle confidential financial, business, and strategic information with the highest level of discretion. </li><li>Draft, review, and format executive-level correspondence, reports, presentations, and internal communications. </li><li>Coordinate executive travel, meetings, and events with attention to cost, efficiency, and executive preferences. </li><li>Support light project coordination, tracking action items, deadlines, and deliverables across leadership initiatives. </li><li>Partner with other internal teams to ensure executives have accurate, timely information </li><li>Interface professionally with senior leaders, external partners, vendors, and advisors </li><li>Provide continuity and institutional knowledge that supports long-term organizational stability. </li></ul> <p>Required Qualifications:</p> <ul> <li>10+ years of progressive administrative experience, including significant support of senior or executive leadership. </li><li>Demonstrated ability to work independently with minimal direction while managing multiple, competing priorities. </li><li>Advanced proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint), including complex executive calendar management. </li><li>Proven ability to handle highly confidential information with discretion and professionalism. </li><li>Exceptional written and verbal communication skills </li><li>Strong organizational skills with a high degree of accuracy and attention to detail </li></ul> <p>Preferred Experience:</p> <ul> <li>Direct support to a President, CEO, Owner, or Executive Team </li><li>Experience in construction, manufacturing, engineering, or professional services environments </li><li>Long-term tenure in prior roles demonstrating trust, reliability, and institutional knowledge </li></ul> <p>Core Competencies:</p> <ul> <li>Executive presence and sound professional judgment </li><li>Anticipation of needs and proactive problem-solving </li><li>High level of confidentiality and trustworthiness </li><li>Strong emotional intelligence and interpersonal awareness </li><li>Ability to manage complexity, ambiguity, and shifting priorities. </li></ul> <p>Physical Requirements:</p> <ul> <li>Ability to sit for extended periods while working at a computer or desk. </li><li>Ability to access active construction sites and work areas as needed. </li><li>Ability to lift and carry up to 25 pounds. </li></ul> <p>Pay Range:</p> <p>Compensation will be determined based on the candidate's background, experience, and demonstrated executive level administrative expertise.
