<p>JOB GOALS: Under general supervision, performs administrative work for the Department and performs other duties as assigned.</p> <ul> <li>Organize and coordinate a wide variety of office functions related to the administration of diverse programs and operations at a school. </li><li>Prioritize and schedule duties and assignments to assure efficiency and effectiveness and to meet established timelines. </li><li>Communicate with District personnel to coordinate school operations and maintenance. </li><li>Compute, record, and proofread data and other information, such as records or reports. </li><li>Answer office phones, direct calls, and take messages or transfer calls to appropriate individuals. </li><li>Operate office equipment such as fax machines, copiers, and phones, and use computers for spreadsheets, word processing, database management, and other applications. Troubleshoot problems involving office equipment. </li><li>Submit orders and requisitions, communicate with vendors, maintain budget and bookkeeping documentation as directed by the Department Supervisor. </li><li>Complete and mail bills, contracts, policies, invoices or checks. </li><li>Addresses standard inquiries by letter, phone, email, fax or personal contact. </li><li>Complete work schedules, manage calendars, and arrange appointments. </li><li>Prepare meeting agendas, attend meetings, and record as assigned. </li><li>Process and prepare documents, such as business and government forms. </li><li>Assist with management, retrieval, and destruction of records within established guidelines. </li><li>Maintains confidentiality of records. </li><li>Greet and assist students, staff, parents/guardians, and any other visitors as needed. </li><li>Prepare, create, and compose letters, reports, and other documents for the school/department or instructional programs; </li><li>Establish and maintain cooperative and effective working relationships with others. </li><li>Work confidentially with discretion and adheres to the appropriate code of ethics. </li><li>Perform special projects as required. </li><li>Other duties as assigned. </li></ul> <p>QUALIFICATIONS:</p> <ul> <li>High school diploma or equivalent, related school or office experience </li><li>Knowledge of office procedures </li><li>Ability to use office equipment, computers, and technology proficiently </li><li>Must possess data entry skills </li><li>Must have excellent oral communication skills </li><li>Must be able to work well with others </li><li>Ability to exercise good judgment and common sense </li><li>Ability to manage multiple tasks simultaneously and under pressure with accuracy and accountability </li><li>Ability to make decisions and solve problems </li><li>Demonstrated aptitude and competence for other assigned responsibilities </li></ul> <p>Rate of Compensation: In accordance with AFSCME Clerical Collective Bargaining Agreement</p>
