<p>The Administrative Specialist will assist in the day-to-day operational activities of the department while performing administrative functions using diplomacy, discretion, and exercising independent judgement. The responsibilities include but are not limited to project management, review of financial transactions ensuring accuracy and staying within the budget for the CAS/MAX office, preparation and management of purchase requisitions, university credit card reconciliation, training and supervision of student employees, assist with and oversee administrative duties related to yearly programs, such as Career Fairs, Immersion Programs, Alumni & Employer Events, and other programs related to career development, arrange travel for staff and process related expense reimbursement, coordination of department and working groups meetings, and other duties as assigned.</p> <p>This position is part of a bargaining unit and is represented by the union SEIU, Local 200United.</p> <p>Education and Experience</p> <ul> <li>Associate's degree required, bachelor's degree preferred. </li><li>One (1) plus years of experience in office administration, preferred in a university setting. </li></ul> <p>Skills and Knowledge</p> <ul> <li>Prioritize tasks and manage multiple projects, work independently, use initiative, and make decisions quickly based on established protocols. </li><li>Apply strong critical thinking skills, information gathering ability, analytical skills, ability to read and interpret documents, negotiation skills, organizational skills, and verbal and written communication skills. </li><li>Apply knowledge of university concepts, practices, and procedures to achieve objectives, and apply knowledge of department goals and priorities in fielding issues in initial stages. </li><li>Evaluate and actively resolve problems independently where applicable and redirect or handle phone calls and inquiries at own initiative as appropriate. </li><li>Generate and manipulate reports from University systems. </li><li>Recruit, hire, train student workers. </li><li>Coordinate events, including initial review of contracts for immersion trips, contracting vendors, and ordering collateral materials for programming/events. Execute promotional campaigns for career programming. </li><li>Use technical software such as database management and website content editing, Handshake, Excel, Adobe, Social Media platform experience is a plus. </li><li>Work with and meet the programmatic needs of a diverse student population. </li></ul> <p>Responsibilities</p> <ul> <li>Assist in managing coordination for department events and programs including employer visits, information sessions, group advising, alumni events and immersion trips. </li><li>Execute operations for internship course/Strong Interest Inventory/Programming Applications/Classroom visits. </li><li>Serve as a power user for technical software such as database management, website content editing, Handshake, Excel, Adobe, Social Media platform. </li><li>Manage the credit card reconciliation submission and reimbursement process for the career advising staff, initial review of contracts for immersion trips, contacting vendors, and ordering collateral materials for programming/events. </li><li>Assist in hiring and supervising department student workers (assignment of work, scheduling, timesheets, weekly meetings, etc.). </li></ul> <p>Physical Requirements</p> <p>Not Applicable</p> <p>Tools/Equipment</p> <p>Not Applicable</p> <p>Application Instructions</p> <p>In addition to completing an online application, please attach a resume and cover letter.</p>
