<p>In this Administrative Assistant position the candidate will assume a significant role providing a wide variety of administrative duties with the Metropolitan Council Office. The candidate will utilize their superior administrative and communication skills to prepare official correspondence and manage scheduling for senior management. The candidate will be responsible for other duties that may range from preparing Council Committee agendas to assisting with constituent communication.</p> <p>Employees in the Metropolitan Council Office work diligently to provide excellent service for members of the Council, as well as members of the public. We are looking for a highly engaged and motivated individual who possesses a strong attention to detail to join our team.</p> <ul> <li>Resume must accompany application* </li><li>Performs complex professional level administrative work for the Council Office. </li><li>Interprets policies, rules, and regulations as required. </li><li>Prepares Council Committee agendas and related materials for Council Committee meetings. </li><li>Implements and/or oversees Council Office special programs such as participation in the Metropolitan Employees Consolidated Charities Campaign. </li><li>Writes and prepares clear and cogent Council and Council Office correspondence. </li><li>Receives and reviews time-sensitive correspondence for senior management. Maintain confidentiality and recommend responsive actions. </li><li>Coordinates project-related tasks for senior management. </li><li>Writes and prepares Council proclamations for public presentation. </li><li>Assists with scheduling community meetings and committee special meetings. </li><li>Attends Council meetings as needed, often requiring evening work hours. </li><li>Maintains critical records and disseminates information as necessary. </li><li>Provides phone back-up and clerical assistance, as needed. </li><li>Assists with initial review of requests made by Councilmembers and constituents in the HUB and resolves those within delegated authority, as needed. </li></ul> <p>Any combination of education and experience that would prepare the candidate to perform duties of the position at the professional level. Candidates would typically have a Bachelor's degree plus two years of professional-level administrative experience.</p> <p>Candidates with accreditations earned in a foreign institute are encouraged to apply.</p> <p>Note: Per Metro Ordinance No. SO94-1078. All employees of the Metropolitan Government shall be residents of the State of Tennessee or become residents of the state within six (6) months of employment as a prerequisite to employment with the Metropolitan Government. </p> <ul> <li>Proficiency with Microsoft 365 and Microsoft Office Suite of programs, Canva, Oracle, Kronos, and other relevant office administration programs. Must be willing and able to learn new software applications. </li><li>Bilingual language skills. </li><li>Synthesizing information and presenting it in an effective manner, including the creation of advanced digital presentation. </li><li>Utilizing independent judgment and discretion to analyze and resolve problems. </li><li>Ability to handle multiple tasks, projects, competing priorities, and tight deadlines simultaneously while maintaining quality. </li></ul> <p>We are an equal opportunity employer that values diversity at all levels.
